Role summary

This full-time remote position is focused on organizing patient appointments and helping patients reach care efficiently. The Medical Scheduler will manage bookings and changes, confirm patient details, and align visit timing with provider schedules and clinic rules. The role includes speaking with patients by phone, handling inbound and outbound calls, answering questions about appointments and basic services, and keeping information accurate across scheduling and record systems.

Key duties

  • Arrange and adjust appointments based on provider availability and clinic procedures.
  • Check patient details and verify visit information before appointments.
  • Handle incoming and outgoing calls in a professional and timely manner.
  • Respond to patient questions and explain appointment-related information clearly.
  • Coordinate with clinical and administrative teams to keep scheduling changes accurate and up to date.
  • Record information carefully, using appropriate medical terminology where needed.
  • Follow privacy expectations, internal workflows, and company policies at all times.
  • Use scheduling tools and electronic health record systems to support a smooth patient experience.

Qualifications

  • Proven ability to schedule appointments, including use of scheduling software and coordination across multiple providers or sites.
  • Strong telephone manner and customer service approach, with the ability to handle a large call volume efficiently and calmly.
  • Good spoken and written communication skills, with a focus on accuracy and professionalism.
  • Basic familiarity with medical terminology and comfort working in healthcare or clinical documentation settings.
  • High school diploma or equivalent; extra education in healthcare administration, medical office work, or a similar area is a plus.
  • Capability to work independently from a remote environment, manage time well, and follow standard procedures and confidentiality rules.
  • Prior use of electronic health records, call center tools, or patient access systems is preferred.
  • Strong organization, attention to detail, and problem-solving skills when updating and confirming patient information.
