Role Overview
The Medical Records Director at Pikes Peak Post Acute is responsible for supervising the management, security, and precision of resident health information, strictly adhering to federal, state, and facility regulations. This role plays a critical part in ensuring documentation is up to date and supports both clinical and administrative teams, while maintaining confidentiality and the integrity of medical data within a skilled nursing facility setting.
Key Responsibilities
- Oversee the generation, maintenance, and secure storage of resident medical records conforming to HIPAA and regulatory standards.
- Ensure accurate and prompt documentation of admissions, discharges, transfers, and clinical updates.
- Monitor completion status of records to guarantee compliance with facility policies as well as state and federal mandates.
- Collaborate with nursing, therapy, and administrative departments to fulfill documentation requirements.
- Manage medical record requests from residents, family members, legal agents, and external healthcare providers.
- Administer electronic health record (EHR) systems and resolve documentation-related technical issues.
- Provide training and supervision to medical records personnel while managing schedules and performance standards.
- Compile reports and conduct audits for internal and external evaluations.
- Protect confidentiality and secure sensitive patient health information.
- Assist with survey preparation and respond to documentation inquiries from regulatory bodies.
Supervisory Duties
Lead the medical records team through training, scheduling, and oversight to ensure compliance with HIPAA, facility rules, and documentation standards.
Qualifications and Experience
- Associate or bachelor's degree preferably in Health Information Management.
- Certification such as Registered Health Information Technician (RHIT) or equivalent credentials preferred.
- At least 2 years of experience in medical records or health information management, especially within long-term care environments.
- Comprehensive understanding of HIPAA, Medicare/Medicaid documentation criteria, and skilled nursing facility regulations.
- Competency in EHR platforms and Microsoft Office applications.
- Strong organizational, communication, and problem-solving capabilities.
- Ability to juggle multiple tasks effectively to meet deadlines.
Physical and Work Environment
- Typically involves frequent sitting, typing, and document review.
- Occasional walking, standing, and lifting up to 25 pounds.
- Requires the ability to maintain focus in busy surroundings and handle confidential material responsibly.
- The noise level in the workplace is generally low to moderate.
