Job Summary
This position involves delivering clerical and administrative support within medical records departments, clinics, or other areas of a medical treatment facility.
Education & Experience Requirements
Candidates must have a high school diploma or GED equivalent, along with a minimum of six months experience working in a medical clinic or office environment, performing duties that include scheduling, administration, and handling medical records. Typing proficiency of at least 50 words per minute is essential.
Key Responsibilities
- Handling and directing calls from the main office phone line, taking messages as necessary.
- Coordinating and scheduling medical appointments while verifying patient eligibility for services, providing general instructions to patients, and making referrals as needed.
- Supporting Medical Officers by processing appointment details and ensuring appropriate access to care timeframes.
- Managing appointment schedules using government systems according to established protocols, including updating patient demographic information.
- Maintaining accurate patient schedules and logs, utilizing computer tools and procedures to manage appointment slots efficiently.
- Contacting patients via phone or secure messaging to arrange, modify, or cancel appointments, and promoting specialty medical consultations within Military Treatment Facilities or civilian centers.
- Updating and filing medical records and obtaining necessary documentation requested by healthcare providers.
- Organizing and reviewing patient records for completeness, accuracy, and consistency according to guidelines.
- Locating, initiating, and maintaining medical records in compliance with prescribed directives.
- Facilitating daily retrieval and delivery of patient records, ensuring availability prior to appointments.
- Preparing reports related to medical record statistics and participating in quality assurance reviews according to accreditation standards.
- Retiring medical records in line with regulatory procedures.
- Managing electronic telephone messages for Primary Care Managers and clinic nurses following standard protocols and guidelines.

Certification Requirements
