Role summary

Doctors & Co. is looking for an approachable and well-organised Medical Receptionist to support the front desk at Vincentia Bay Medical in Vincentia, New South Wales. The role involves welcoming patients and visitors, managing appointments, handling payments and paperwork, and helping maintain a tidy, efficient, and friendly clinic environment.

Key duties

  • Open and close the clinic according to established procedures.
  • Receive patients and callers with professionalism and courtesy.
  • Book and manage patient appointments.
  • Protect the confidentiality and efficient handling of medical records.
  • Process patient payments accurately through cash, Eftpos, and direct billing.
  • Raise invoices for Medicare, private health funds, TAC, and WorkCover.
  • Apply the MBS schedule correctly and follow proper billing practices.
  • Communicate politely and helpfully with referring doctors, hospital staff, pharmacists, and other contacts.
  • Respond to patient queries and support day-to-day front-desk operations.
  • Monitor and manage internal email communication.
  • Assist with rostering when staff are on leave, sick, or absent.
  • Keep the waiting area and consulting rooms clean and orderly, including cleaning spills when needed.
  • Organise the secure storage, scanning, faxing, filing, and retrieval of patient and practice documents.
  • Maintain strict confidentiality of patient personal and financial details.
  • Complete patient recalls as required.
  • Contribute to smooth daily operations across the medical centre.
  • Deliver excellent customer service and work well within a team.

Selection criteria

  • Proven ability to work collaboratively as part of a team.
  • Hands-on experience using medical practice software such as Best Practice or MedicalDirector.
  • Strong organisational and problem-solving capability.
  • Comfort working in a busy, fast-moving environment while managing several tasks at once.
  • Clear verbal and written communication with both internal and external stakeholders.
  • Strong commitment to quality patient service.
  • At least 1 year of experience as a Medical Receptionist in a medical practice.

Additional requirements

  • Current police check.
  • Current Working With Children clearance.
  • Current First Aid and CPR certificate.
  • Up-to-date immunisation record.
  • Valid driving licence or photo ID.
