About the Role
Maui Medical Group has been serving Maui’s residents and visitors with quality healthcare since 1961. This full-time Medical Office Assistant role is based in the Nursing department in Kihei and supports the smooth day-to-day operation of the medical office.
What You’ll Do
- Handle incoming calls, route them appropriately, take prescription messages, confirm details for appointment requests, and help arrange follow-up visits and referrals.
- Prepare patient-related materials for appointments, including laboratory information, hospital reports, and referral notes, while helping maintain the electronic medical record system and scanning documents as needed.
- Complete office forms and supporting paperwork accurately and on time.
- Contact insurance providers or use available tools to confirm coverage and explain copays, deposits, and any referral or authorization requirements to patients before their appointments.
- Update physician scheduling templates to reflect open, closed, and rescheduled appointments.
- Contribute to a positive patient and family experience by solving problems proactively, protecting confidentiality, and communicating respectfully with patients, coworkers, and management.
- Carry out additional duties as assigned.
- Maintain quality standards, finish assigned work promptly, make decisions within delegated authority, and follow company policies and procedures.
- Meet attendance and timekeeping expectations set by company policy.
Requirements
- High school diploma or equivalent is required.
- At least 1 year of experience in a medical, receptionist, or similar office setting is preferred.
- Experience using basic office equipment and a personal computer is highly desirable.
- Ability to manage multiple tasks at once.
- Strong telephone communication skills.
- Positive, proactive, and flexible attitude, including willingness to work overtime when needed.
- Preferred background includes 1 year of experience in a medical office or healthcare administration and familiarity with medical terminology.
- Comfort working with a team that includes Nursing and Front Desk staff.
- Ability to use a personal computer, typewriter, multi-line telephone, fax machine, and copier.
- Physical capability to sit and key-punch for about 60% of the time, walk/bend/stoop/stretch for files and supplies for about 30% of the time, and lift up to 25 lbs.
- Manual dexterity sufficient for keyboard and office equipment use.
- Vision correctable to 20/20 and hearing adequate for telephone work.
Compensation
The starting pay is $19.07 per hour, depending on experience.
