About the Role
Maui Medical Group, serving Maui since 1961, is recognized as a leading healthcare provider for residents and visitors, with quality measured through patient satisfaction, patient outcomes, and staff employment satisfaction. This role sits within the Nursing department and supports the coordination of office operations in a surgical setting.
The Medical Office Assistant helps keep the clinic organized by handling scheduling, patient screening for triage, updating patient records, completing forms, managing charts, and supporting communication through a multi-line phone system. The position also contributes to patient education and guidance, especially for individuals navigating care related to cancer and GI concerns.
Key Duties
- Respond to incoming calls promptly and professionally, take messages, or route calls as needed.
- Help arrange diagnostic appointments, tests, authorizations, and referrals, while informing patients about co-payments, deposits, and any referral or authorization requirements.
- Verify encounter details, prepare next-day encounter forms, and assist with office paperwork, copying, faxing, and ICD-9 coding support.
- Maintain medical records by filing chart documents, requesting and transferring charts, preparing charts, and recording incoming lab results and next appointment dates.
- Support coordination of care across office, hospital, and other service areas, including scheduling and guiding patients through the care process as an advocate for patients and families.
- Assist physicians/programs with clinical data tracking, quality outcomes, and practice trends, and help report results for improvement efforts.
- Help organize outreach screening programs aimed at early cancer detection and reducing barriers related to culture, finances, and logistics.
- Handle additional duties as assigned.
- Consistently produce quality work, complete tasks on time, work within delegated authority, solve problems proactively, protect confidential information, and interact respectfully with patients, coworkers, and management.
- Follow company policies and maintain attendance expectations.
Requirements
- High school diploma or equivalent is required.
- At least 2 years of medical or receptionist experience is preferred.
- Experience using basic office equipment and a personal computer is highly desirable.
- Strong ability to manage several tasks at once.
- Good telephone communication skills.
- Positive, service-oriented attitude and willingness to work overtime when needed.
- Preferred background in a medical office or healthcare administration, along with knowledge of medical terminology.
- Comfort working as part of a team with Nursing and Front Desk staff.
- Ability to sit for long periods and use hands for data entry about 60% of the time, with walking, bending, stooping, and stretching about 30% of the time.
- Must have the manual dexterity needed for keyboard and office equipment use.
- Vision must be correctable to 20/20 and hearing should be suitable for telephone work.
- Ability to lift up to 25 lbs.
Additional Information
This is a full-time position with a schedule of Monday through Friday, 8:00 a.m. to 5:00 p.m. The starting hourly pay is $19.07, with the final rate based on experience.
