About the Organization

The Institute for Contemporary Psychotherapy (ICP) is a nonprofit mental health entity in New York City that has provided affordable therapy, professional training, and community education for over 50 years.

Role Overview

The Medical Billing & Financial Operations Specialist will be part of ICP's administrative team, combining duties related to patient and insurance billing, payroll coordination, and accounts payable management. This role requires strong collaboration and attention to detail, playing a key part in processing patient accounts, insurance claims, payroll, and financial records efficiently, utilizing the organization's electronic health record (EHR) system.

Key Duties and Responsibilities

  • Oversee and manage patient and insurance billing processes.
  • Monitor patient accounts, including handling self-pay fees, copays, and outstanding balances.
  • Submit and track insurance claims and resolve claim issues or denials.
  • Post payments from patients and insurers, maintaining accurate patient ledgers in the EHR.
  • Communicate with therapists about patient balances and collection efforts.
  • Respond professionally to patient and insurance billing inquiries and keep thorough billing documentation.
  • Act as liaison with outsourced payroll provider; coordinate monthly payroll details for therapists and faculty.
  • Address payroll queries and coordinate resolution of any payroll issues.
  • Manage accounts payable by verifying and entering invoices in QuickBooks, processing vendor payments, and maintaining organized payment records.
  • Handle vendor communications concerning invoices and payments, and assist with month-end accounts payable tasks.

Candidate Qualifications

  • Organized, responsible, detail-driven, and adept at problem-solving.
  • Preferably experienced with medical insurance billing, including claim resolution.
  • Familiarity with electronic health records (EHR) systems.
  • Experience using QuickBooks for financial management.
  • Background in payroll coordination or managing payroll vendor relationships.
  • Excellent organizational, time management, and communication skills.
  • Proficient with Microsoft Office suite, especially Excel.
