About the Role
The Medical Administrative Officer at CURE Children's Hospital of Kenya in Blantyre, Malawi, is crucial for coordinating the patient journey related to surgical procedures. This includes organizing scheduling, admission, and treatment processes, managing and safeguarding patient health records and information systems, facilitating patient access to care, and ensuring adherence to hospital quality, legal, and accreditation requirements.
Key Responsibilities
- Maintain an updated register of patients awaiting surgeries or planned procedures and monitor their status from recommendation to treatment or postponement.
- Assist patients in overcoming admission obstacles and provide clear information about hospital processes and treatments.
- Coordinate a seamless admission experience through proactive patient communication and monitor follow-up attendance.
- Manage comprehensive patient health records ensuring completeness, accuracy, use of unique identifiers, and compliance with legal and organizational policies.
- Oversee digitization and migration of historical records into electronic health systems while ensuring confidentiality and security measures.
- Collect, analyze, validate, and maintain surgical patient data to support clinical, operational, and reporting needs.
- Prepare and submit thorough reports on waiting lists, admissions, outcomes, and other relevant statistics for hospital management and regulatory bodies.
- Monitor and enforce compliance with quality standards, conduct audits, and maintain continuous improvement in patient safety and quality.
- Develop, implement, and maintain policies and procedures for patient information and surgical coordination in collaboration with various hospital departments.
- Train and support staff on health information management, confidentiality, and the effective use of information systems.
- Engage in quality improvement initiatives, accreditation activities, and hospital committee participation.
Qualifications and Experience
- Diploma in Health Information Management, Medical Records Management, or Records and Archives Management; candidates with a Bachelor's degree plus relevant certificates are also considered.
- At least three years of experience in health information management, patient administration, medical records, hospital admissions, or related healthcare roles.
- Experience in managing electronic health records and hospital information systems is preferred.
- Knowledge of quality management systems and accreditation standards is an advantage.

- Familiarity with healthcare quality standards, accreditation, confidentiality and data protection principles.

- Ability to work independently and collaboratively within multidisciplinary teams.

Work Environment and Physical Demands
The role demands compliance with safety and security protocols within a generally low-noise environment. Physical requirements include frequently sitting, talking, hearing, occasionally walking, reaching, climbing, balancing, stooping, kneeling, crouching, and crawling.
