Job description

Overview

The Ministry of Defence Police is a civilian policing organisation that safeguards the UK’s defence community, assets, and capabilities. Its officers, specialists, and civilian employees support defence sites, nuclear locations, military establishments, and government buildings across the UK, working alongside the Ministry of Defence, US Visiting Forces, and other security partners. This role is based at MDP Building, HMNB Devonport, Devon, PL2 2BG, and is advertised for 37 hours per week.

What you will do

  • Keep sickness information accurate and up to date in line with station instructions.
  • Maintain officers’ contractual hours, including adjustments for overtime and time off in lieu, and refer excessive hours or rostering errors back to the local site.
  • Make sure overtime reasons are entered correctly.
  • Track courses and training, taking shortfalls and minimum staffing levels into account.
  • Create and maintain shortfall logs or spreadsheets for each station, tailored to local requirements.
  • Record and manage annual leave details.
  • Offer direct guidance and support to stations using GRS.
  • Load full roster cycles into GRS and keep them current, ensuring compliance with PRG and accurate contractual hours while meeting business and customer needs.
  • Amend rosters at short notice to cover sickness, leave, and detached duties, while considering qualifications, ability to perform duties, work-life balance, policy, Rules and Guidance, and Working Time Regulations.
  • Apply knowledge of Policy, Rules and Guidance and Working Time Regulations in everyday rostering work.
  • Deliver rostering system training to stations in person or through other communication methods.
  • Update permissions and access rights based on role requirements and level of training.
  • Act as a main point of contact for station personnel, building professional working relationships with officers at different ranks through regular communication.
  • Use five protected learning days for personal development.

Assessment

The selection process will use the Civil Service Success Profiles framework and assess both behaviours and experience. Applicants must submit a CV covering work history, skills, and experience, along with a 500-word statement of suitability. The following behaviours will be reviewed at sift: Communicating and Influencing, Making Effective Decisions, Delivering at Pace, and Seeing the Big Picture. At interview, candidates will be assessed on Communicating and Influencing, Making Effective Decisions, and Delivering at Pace. Interviews may take place remotely through Microsoft Teams, depending on operational needs. Sifting is scheduled to begin in the week commencing 27/07/2026.

Conditions and additional information

Where operational needs permit, the post may support a blend of office and home working through a non-contractual hybrid arrangement. Office-based staff are expected to spend at least 60% of their working time in the office, subject to site capacity and any workplace adjustments. Attendance at other MOD locations for official business may count toward this requirement. Applicants may ask the Vacancy Holder for more detail about flexible working arrangements.

This post does not include relocation expenses. New external recruits entering the MOD from outside the Civil Service will be subject to a six-month probation period. Travel costs for interviews will not be reimbursed. The Department is reviewing pay-related allowances, which may affect allowances attached to this role. Moving to the MOD from another employer will end access to childcare vouchers, including moves between government departments, although other schemes such as Tax-Free Childcare may be available depending on eligibility.

The Ministry of Defence operates a smoke-free working environment policy across the Defence workplace, which prohibits smoking and the use of tobacco products, with some local exemptions. The organisation also runs a recruitment satisfaction survey, which is voluntary and anonymous, and may include the collection of personal data under the UK GDPR. The MOD privacy notice explains how that data is used and what rights applicants have.

Artificial intelligence may be used to support an application, but every example and statement must be truthful, accurate, and drawn directly from the applicant’s own experience. If plagiarism is identified, including material generated by AI and presented as personal experience, an application may be withdrawn and internal candidates may face disciplinary action.

The MOD will only sponsor a Skilled Worker visa where a role is deemed business critical. This role is not in that category, so sponsorship will not be provided. Candidates who require sponsorship under the points-based system are not eligible to apply, and any application found to require sponsorship will be rejected or have any provisional offer withdrawn.

Successful candidates must declare any outside interests after interview and before a formal offer is made. Some interests may be incompatible with MOD civilian roles, and any issues will be considered so appropriate safeguards can be put in place.

The MOD applies a zero-tolerance approach to unacceptable behaviour, including bullying, harassment, sexual harassment, discrimination, and victimisation. Applicants who were dismissed within the last five years for such behaviour, or who left a role and would have been dismissed for gross misconduct on that basis, will not be considered. Pre-employment checks will be completed. Feedback will only be given to candidates who attend an interview or assessment.

Security and vetting

Successful candidates must pass a criminal record check and meet the required security clearance level, which is Security Check. People working with government assets must also complete Baseline Personnel Security Standard checks. A vetting charter is available for reference.
