Role Overview
The Marketing Operations Specialist, Intake, will be a vital member of the Member Activation team, operating at the core of Lantern's two central member activation efforts. This position acts as the main intake hub for all incoming campaign and client activation requests. For the Awareness Program, you will manage the complete intake process for all campaign materials and customized member-facing content, ensuring approvals, packaging, and documentation are complete before passing requests to the Fulfillment Manager. In the Targeted Marketing Program, the role entails managing workflows focused on client readiness by coordinating approvals, tracking data review completion, and verifying readiness criteria prior to activation. This role involves extensive cross-team collaboration with Member Marketing, Client Success, Strategy, Brand, Data teams, and external partners, demanding excellent organizational skills, diligent follow-through, and the ability to handle multiple simultaneous tasks efficiently.
Location & Work Arrangement
This position requires a hybrid work schedule with a minimum of three days per week in-office, located in Dallas, TX, New York, or other Lantern hub offices.
Responsibilities
- Manage and oversee the entire intake queue, triaging requests and directing them to the appropriate team members.
- Review incoming submissions for completeness and precision, following up with requestors to gather missing information before forwarding.
- Confirm all client prerequisites and approvals are secured before handing off tasks to fulfillment for both standard and bespoke campaigns.
- Actively pursue and track pending campaign approvals, collaborating with internal teams and Client Success to prevent delays.
- Continuously enhance intake processes, including forms, templates, and workflow documentation, aiming to improve consistency and minimize unnecessary iterations.
- Supervise daily updates to the tracking board covering client authorization through readiness for activation.
- Maintain comprehensive documentation of client approvals, managing approval workflows primarily via Salesforce.
- Report on intake volumes, turnaround times, and operational trends, highlighting backlogs and capacity issues to the Program Manager.
- Contribute to weekly status meetings by reporting on progress, addressing bottlenecks, and forecasting workload volumes.
- Support process improvement initiatives and assist the Marketing Operations team in developing scalable, repeatable procedures as demands grow.
Required Qualifications
- Bachelor's degree in Marketing, Business, Communications, or an equivalent relevant background.
- 2 to 3 years’ experience in marketing operations, project coordination, or related fields.
- Proven ability managing high-volume intake workflows, approval tracking, or request management systems.
- Familiarity with project or work management platforms such as Monday.com or equivalents.
- Strong written communication skills comfortable with stakeholder engagement at all organizational levels and routing requests with clear, comprehensive information.
- Excellent attention to detail with the capacity to oversee multiple parallel requests without sacrificing accuracy or timeliness.
- Knowledge of CRM or marketing automation tools like Salesforce or Salesforce Marketing Cloud is advantageous.
- Experience in cross-functional marketing teams within healthcare, employee benefits, or business-to-business sectors is a plus.
