Marketing Operations Manager - Project and Workflow Management

Overview

The Marketing Operations Manager for Workflow and Project Management is tasked with maintaining and enhancing the enterprise marketing workflows and project management systems, ensuring the team operates efficiently and effectively at scale.

This position balances hands-on daily management of projects and workflows with strategic collaborations aimed at strengthening marketing’s operational capabilities over the long term.

Key Responsibilities

• Oversee daily management of marketing projects, including intake coordination and completeness review of briefs before resource allocation.
• Allocate creative and email development resources using resource management tools and coordinate translations when necessary.
• Support paid advertisement trafficking for both internal and external campaigns.
• Lead team daily standups and actively track project progress, preemptively addressing any risks, obstacles, or prioritization conflicts.
• Manage select special and cross-functional projects to bring clarity, visibility, and discipline to delivery.
• Assess resource capacity regularly, flagging and resolving conflicts in collaboration with stakeholders.
• Identify workflow risks and bottlenecks within marketing operations and implement improvements based on data and stakeholder input.
• Lead adoption, evaluation, and ongoing optimization of workflow tools like Workfront, JIRA, Monday.com, or Asana for enterprise marketing.
• Create training materials and change management support to facilitate adoption of new project and workflow systems.
• Explore and apply AI and automation tools to streamline repetitive marketing operational tasks and improve efficiency.
• Collaborate with subject matter experts to pilot and scale AI-driven solutions for enhanced productivity and workflow management.
• Develop and maintain performance dashboards and operational reports providing insights into project activities, resource capacity, and delivery metrics.
• Convert operational data into actionable strategies that boost team performance and delivery outcomes.
• Manage invoice submission for prompt vendor payments and maintain administrative records such as corporate expenses and credential logs to ensure business continuity.
• Support Marketing Operations meetings including event coordination and documentation of meeting materials and action items.

Required Qualifications and Skills

• At least 7 years of relevant experience in marketing operations, project or workflow management, business operations, or similar fields.
• A Bachelor’s degree in Commerce, Marketing, Project Management, or a related discipline is mandatory.
• Proven expertise in designing, implementing, and refining business processes and operational workflows.
• Demonstrated ability to independently manage complex cross-functional projects.
• Strong ability to think systemically and link operational tasks with broader objectives.
• Experience with workflow management platforms, operational technologies, and reporting frameworks.
• Excellent stakeholder management and influence without direct authority.
• Outstanding communication, facilitation, problem-solving, organizational, and analytical skills.
• Experience applying AI, automation, Copilot, and digital tools for business process enhancement and operational efficiency.
