Position Overview

We are seeking a detail-oriented, proactive Marketing Events Specialist to oversee the implementation of regional Tier 2 and Tier 3 events across the EMEA region. This role involves full ownership of assigned events from initial handoff through post-event review, including developing execution plans, coordinating vendors, managing timelines, preparing internal teams, supporting promotional activities, supervising onsite event readiness, and compiling comprehensive reports after events.

Key Duties

  • Take complete responsibility for event management once sponsorship or programming details are provided, ensuring smooth progress through to completion.
  • Develop detailed execution schedules, deliverables, and deadlines based on sponsorship specifics.
  • Simultaneously manage multiple event projects and coordinate with event organizers, venues, service providers, and vendors.
  • Identify potential risks or obstacles promptly, communicating the need for assistance or decisions to stakeholders.
  • Coordinate logistics such as booth setup and sponsorship requirements, including AV, internet, furnishings, signage, carpeting, and necessary equipment.
  • Oversee shipping schedules for promotional materials, swag, and booth assets.
  • Support the organization of supplementary gatherings like networking events, meetups, or social receptions.
  • Ensure Sales and related teams have all required materials, briefings, and operational support for onsite success.
  • Facilitate day-of-event logistics and troubleshoot any on-the-spot challenges.
  • Assist in creating and managing invitations, event registration pages, promotional websites, social media content, and internal communications.
  • Coordinate creation of registration portals through tools like Splash and Luma, and work closely with the Design team for event artwork and collateral.
  • Track and ensure timely completion of creative assets and support initiatives that boost engagement and traffic during events.
  • Prepare comprehensive pre-event informational materials covering schedules, logistics, roles, and onsite expectations.
  • Manage internal communication tools including calendar invites, Slack channels, and update systems like Notion to maintain clarity among cross-functional teams.
  • Accurately maintain financial documentation related to event expenditures, contracts, invoices, procurement, and vendor management.
  • Source event swag and purchases with attention to budget constraints and brand consistency.
  • Deliver thorough post-event assessments documenting results, follow-up actions, and lessons learned.

Candidate Profile

  • Demonstrated experience managing B2B conferences, trade shows, sponsorships, field and networking events from start to finish.
  • Strong project management capabilities with proven ability to juggle multiple overlapping deadlines and event workstreams independently.
  • Experience liaising with vendors, overseeing production schedules, coordinating shipments, and ensuring fulfillment of sponsorship commitments.
  • Exceptional attention to detail, excellent communication skills, and a dependable approach to delivering results.
  • Ability to work autonomously while escalating risks or issues in a timely manner.
  • Collaborative experience partnering with Sales, Marketing, Design teams, and external stakeholders.
  • Familiarity with event marketing, registration systems, and promotional communications.
  • Proficiency with tools such as Notion, Slack, Splash, and Luma or comparable platforms.
  • Willingness to travel regionally and attend occasional events outside regular hours, including evenings or weekends.
  • Background in B2B technology sectors preferred; direct experience in fintech, cryptocurrency, or cybersecurity not mandatory.

Additional Information

  • This role is an immediate project engagement with a six-month contract initially, with potential for extension.
  • Workload averages 20 to 30 hours weekly, with variability during peak event times; additional hours may be available per needs and candidate availability.
  • Compensation ranges from 52 to 61 Euros per hour.
  • Candidates should be ready for prompt interview scheduling and onboarding within a few weeks.

Success in this position means delivering well-coordinated, professional regional events consistently without missed deadlines or unexpected issues. Your contribution will enable regional leads to concentrate on broader strategic initiatives by handling numerous smaller engagements independently, ensuring all teams and vendors are well-informed and every event showcases the organization effectively.
