Role Overview
The Marketing Coordinator for Retail Marketing & Experiences plays a crucial role in supporting the execution of retail marketing initiatives, integrated campaigns, consumer events, and experiential activations partnering with key retail accounts. This position manages timelines, event logistics, creative coordination, documentation, and cross-functional communication to ensure smooth, accurate, and timely delivery of marketing programs.
Key Duties
- Manage retail marketing activities for partners such as Sephora, Ulta Beauty, Nordstrom, Amazon, and direct-to-consumer platforms.
- Maintain and update retail marketing calendars, launch timelines, and project tracking tools.
- Coordinate launch assets and schedules with teams across product marketing, sales, education, creative, visual merchandising, ecommerce, and integrated marketing.
- Oversee launch preparedness by tracking merchandising materials, creative content, promotional collateral, sampling, and retail deadlines.
- Contribute to the preparation of launch documents, meeting agendas, and communications.
- Monitor deadlines to alert stakeholders of pending tasks or any potential delays.
- Assist in executing seasonal campaigns, promo programs, and product launches.
- Help plan and implement consumer events, retail activations, founder appearances, pop-ups, educational sessions, and brand activations.
- Arrange logistics for events including venue coordination, staffing, travel plans, product shipping, signage, materials, and inventory management.
- Liaise with internal departments and external vendors to ensure deliverable alignment and event readiness.
- Support onsite event execution for priority retail and brand experiences when necessary.
- Compile post-event reports, document event details, and identify insights for future activations.
- Manage multiple marketing projects simultaneously, ensuring organization and up-to-date tracking.
- Schedule and document project meetings, track action items, and maintain communication flow across teams.
- Collaborate across marketing, creative, sales, education, PR, influencer marketing, ecommerce, visual merchandising, operations, and external partners to maintain project alignment.
- Assist with purchase order processing, invoice monitoring, budget tracking, and marketing expense oversight.
- Coordinate shipments of promotional and event materials and maintain vendor and resource databases.
- Support routing and quality assessment of marketing assets before distribution.
- Produce status updates, campaign summaries, and marketing reports.
- Research trends in retail, beauty, and experiential marketing to inform future strategies.
- Suggest improvements to enhance consumer engagement and marketing effectiveness.
- Document procedures and best practices related to event management and project workflows.
- Drive continuous improvements in project coordination efficiency and execution.
Qualifications
- Bachelor's degree in Marketing, Communications, Business, or related disciplines.
- 2 to 4 years of experience in marketing coordination, particularly within retail marketing, integrated marketing, experiential or event marketing, or project coordination.
- Excellent organizational skills with the ability to multitask and manage concurrent projects.
- Strong written and verbal communication capabilities.
- Meticulous attention to detail and reliable follow-through on tasks.
- Ability to effectively collaborate across diverse cross-functional teams.
- Proficiency in Microsoft Office, Google Workspace, and project management tools such as Asana, Monday.com, Wrike, ClickUp, Smartsheet, or Jira.
Preferred Experience
- Background in beauty, skincare, luxury retail, wellness, or consumer packaged goods sectors.
- Exposure to retail product launches and integrated marketing campaign support.
- Familiarity with retail marketing calendars and promotional planning methodologies.
- Experience coordinating consumer-facing events and experiential marketing programs.
- Knowledge of Digital Asset Management systems.

- Availability for occasional extended work hours during major launches and events.
