Role overview
An established commercial law practice in Dublin is looking for a seasoned Legal Secretary to support its Projects and Construction group. The position offers the chance to work in a fast-moving, team-oriented setting with exposure to complex, high-quality legal work and good scope for professional growth.
Key responsibilities
- Deliver day-to-day administrative and secretarial assistance to a demanding legal team.
- Track and manage files from opening through closure using a legal matter management platform.
- Keep case records current, including document control and incoming/outgoing correspondence.
- Draft and assemble materials for both internal meetings and client meetings.
- Assist with the monthly invoicing cycle, helping ensure billing is accurate and sent on time.
- Maintain calendars and coordinate schedules to avoid clashes and keep time well organised.
- Work with colleagues and outside contacts to address requests and keep matters moving.
- Manage confidential and sensitive information with a high level of care and discretion.
- Produce documents accurately and efficiently, coordinating with specialist support where required.
- Arrange business travel and create detailed itineraries.
- Record time entries and submit expenses.
- Act as a polished first point of contact for clients and visitors.
Experience and skills needed
- At least 3 to 5+ years of experience working as a Legal Secretary, preferably in projects or construction.
- Background supporting senior stakeholders in a legal setting.
- Working knowledge of legal case management tools such as iManage or equivalent systems.
- Hands-on experience with billing software such as KeyHouse or a similar platform.
- Strong accuracy, organisation, and attention to detail.
- Ability to handle confidential information responsibly.
- Excellent verbal and written communication skills.
- Demonstrated ability to balance multiple priorities at once.
- A proactive, positive mindset and the ability to perform well under pressure.
