Job description
Role Overview
DynaFire is looking for a highly organized, tech-savvy Legal Operations & Contracts Manager to oversee legal coordination, contract administration, litigation support, and operational risk management. This position acts as the main point of contact between senior leadership and external legal counsel, keeping cases, claims, disputes, and contract-related matters orderly, well-documented, and moving on time. The role also supports workflow improvement across internal legal and contract processes and provides oversight to team members supporting the Fire Alarm and Fire Sprinkler divisions.
Key Duties
- Coordinate litigation matters, claims, disputes, and communications with outside attorneys.
- Track legal deadlines, organize documentation, manage discovery, and maintain case files.
- Collect project information and perform internal fact-finding to support legal matters.
- Assist with construction contract review, Florida lien law issues, lien disputes, billing disputes, and risk reduction efforts.
- Support escalated accounts receivable collection cases that require legal coordination or attorney involvement.
- Prepare clear case summaries and operational updates for executive leadership.
- Use AI tools, including Claude, to streamline and improve legal operations workflows.
- Guide and support contract administration staff across multiple divisions.
Experience and Qualifications
The ideal candidate brings at least 5 years of experience in legal operations, construction contracts, contract management, paralegal work, litigation support, or a similar field. Background in construction, construction law, or commercial services is strongly preferred. The role requires familiarity with Florida lien law, contracts, liens, change orders, AR escalation processes, and dispute management. Strong organization, communication, leadership, and investigative skills are essential, along with comfort using technology and AI to improve efficiency.
Additional Requirements
- This is primarily an office-based position, though occasional travel may be needed for branch offices, job sites, attorney meetings, or court proceedings.
