Job description
Role overview
WestJet is looking for a Legal Assistant to deliver reliable administrative and advisory support to its broader Legal team. The role is designed to help strengthen a culture of continuous improvement while building trust and providing practical support across the team.
Work arrangement
This is an in-person role that may require up to five days a week at the workplace. The arrangement can change depending on business needs.
What you will do
- Handle a wide range of administrative tasks for the legal function while showing discretion, sound judgment, confidentiality, and strong service orientation for both internal and external stakeholders.
- Manage incoming phone calls and emails, keep the legal and privacy inboxes organized, and coordinate important meetings, training sessions, and travel schedules for several lawyers.
- Support lawyers with correspondence, settlement minutes, active matter tracking, settlement payment processing, expense reports, privacy register maintenance, litigation document preparation, know-your-client compliance, corporate secretarial support, and quarterly reporting.
- Take on additional duties as assigned.
Experience and qualifications
Applicants should bring at least 5 years of experience in an administrative assistant role within an organization of comparable size and complexity to WestJet. Prior legal administrative experience is preferred. Strong Microsoft Office skills are required, especially in Word, PowerPoint, Outlook, and Excel. The role also calls for excellent organization, time management, attention to detail, multitasking ability, and the confidence to manage schedules and priorities effectively for both yourself and the lawyers you support. You should be a dependable team player who can thrive in a busy, fast-moving environment, think ahead to prevent issues, and keep deadlines and follow-ups on track. A legal assistance diploma from a recognized college, or a business administration diploma/degree combined with relevant experience in a legal operating role, is needed.
