Job description
Role Overview
The Legal Assistant for the Family Law Program will provide vital administrative and client support under the guidance of the Director of Family Law. The position involves several office and field tasks supporting attorneys and clients, requiring bilingual Spanish/English abilities and sensitivity to trauma-informed care.
Key Responsibilities
- Offer administrative assistance such as copying, mailing, scanning documents, scheduling appointments, data management, and organizing case files.
- Coordinate communication with clients to manage meeting schedules and document exchanges.
- Request and compile legal records including court and medical documents pertinent to cases.
- Provide direct translation and interpretation services as needed, and arrange for interpreter services for in-person meetings.
- Help maintain the case management system by opening profiles, organizing physical files, updating client case information, and closing files appropriately.
- Occasionally manage front desk duties including handling incoming mail.
- Participate actively in staff meetings and training sessions to stay informed and skilled.
- Maintain confidentiality of sensitive information pertaining to clients and the organization.
- Engage with professional networks and organizations related to the field.
- Perform additional tasks as assigned by supervisors.
Work Environment & Schedule
- The job is part-time and primarily based in the office with some off-site work that may involve locations with limited accessibility.
- Work may sometimes extend to evenings and weekends as required.
- Standard office tools such as computers, phones, and scanners are used daily.
- The work setting is smoke- and drug-free.
Qualifications & Skills
- Preferred educational background: Bachelor’s degree, Associate’s degree, or some college coursework in relevant fields.
- Fluency in both Spanish and English is mandatory.
- Previous experience as a legal assistant or intake coordination is advantageous.
- Strong proficiency with Office 365 and Google Workspace platforms is required.
- Excellent written and oral communication skills combined with strong organizational capabilities.
- Comfortable with multiple software programs and detailed data entry tasks.
- Willingness to complete a 40-hour Domestic Violence training if not already done.
- Ability to engage empathetically and effectively with individuals from diverse and crisis backgrounds.
- Experience or knowledge of supporting survivors of gender-based or intimate partner violence.
- Familiarity with trauma-informed care principles and readiness to undergo further relevant training.
- Attentive listening skills and aptitude to explain complex topics in understandable terms.
- Highly motivated self-starter capable of managing numerous responsibilities simultaneously within a dynamic legal setting.
- A good sense of humor and resilience is considered a plus.
