Job description

Overview

The Legal Administrator will be responsible for managing and maintaining legal documentation, enhancing contract filing systems, and ensuring overall compliance with corporate governance standards. The role demands meticulous attention to detail, strong organizational skills, and effective stakeholder communication to support the legal function within a regulated environment.

Key Responsibilities

  • Securely handle and organize legal documents, contracts, and records with precision.
  • Accurately file, index, and ensure easy retrieval of both digital and physical legal files.
  • Catalog executed agreements and CAS approvals following an established taxonomy.
  • Maintain and control access to a repository of document templates.
  • Support adherence to document retention policies and compliance with corporate record-keeping requirements.
  • Create user guides and frequently asked questions documentation for reference.
  • Uphold document formatting protocols including Word styles, tables of contents, and reference standards.
  • Verify contract packets to confirm all annexures and schedules are complete and correctly included.
  • Review and quality-check final PDFs ensuring accuracy, proper pagination, and presentation quality.
  • Deliver prompt formatting assistance to produce client-ready documents swiftly.
  • Manage the Legal Intake System (LIS) queue by triaging, assigning, and monitoring incoming requests.
  • Communicate proactively to obtain missing information and resolve any system-related issues.
  • Track and report service level agreement (SLA) compliance metrics.
  • Assist in drafting contracts, NDAs, and various legal documentation.
  • Coordinate approval processes, signature acquisition, and execution workflows compliant with delegation of authority (DoA) and CAS procedures.
  • Collaborate closely with stakeholders to ensure timely completion of legal processes.
  • Maintain and update corporate records and statutory legal documents.
  • Monitor critical deadlines and identify potential compliance risks proactively.
  • Serve as the primary contact between the Legal department, internal units, and external advisors.
  • Manage communication and follow-up activities with legal counsel.
  • Generate comprehensive reports on legal workflow, contract status, and legal expenditures.
  • Maintain and update dashboards and trackers to provide visibility into legal operations.

Required Qualifications

  • Between two and five years of experience in legal administration or corporate legal support, preferably within a regulated industry.
  • Sound understanding of contract management, corporate governance, and compliance frameworks.
  • Proficiency in Microsoft Office applications and legal document management platforms.
  • Exceptional organizational skills with a keen eye for detail.
  • Strong stakeholder engagement abilities coupled with a commitment to confidentiality and maintaining high ethical standards.
