Job Overview
Our client, a prominent global investment fund based in Dubai, seeks a motivated Junior Executive Assistant to support the Executive Assistant to the CEO. This dynamic role offers diverse responsibilities involving executive support, private office management, and exposure to senior leadership. The position is office-based in Dubai with flexible working hours from Monday to Friday, typically 11am to 8pm.
Primary Responsibilities
- Assist the Executive Assistant to the CEO with a broad spectrum of administrative and organizational duties
- Support calendar management, including scheduling and coordinating appointments
- Help manage inbox communications, ensure timely follow-ups, and maintain administrative order
- Prepare documentation such as reports, spreadsheets, and trackers
- Coordinate travel arrangements and develop detailed itineraries
- Oversee both digital and physical filing systems
- Handle coordination of couriers, deliveries, and personal errands
- Support the management and operations of private residences and household services
- Interact with contractors, maintenance teams, suppliers, and service providers
- Manage maintenance, repair schedules, installations, and property servicing
- Obtain quotes and maintain supplier relationships
- Assist with personal shopping, gifting, and lifestyle requirements
- Maintain inventories of household items and operational supplies
- Support office operations including facilities and hospitality arrangements
- Contribute to events, special projects, and various ad hoc initiatives
- Follow up with vendors and external parties to guarantee timely fulfillment of tasks
- Handle confidential and sensitive information with utmost discretion
Required Skills and Qualifications
- Prior experience as a Personal Assistant, Executive Assistant, or Team Assistant within professional or luxury service contexts
- Exceptional attention to detail and commitment to high standards
- Ability to juggle multiple priorities effectively and maintain composure under pressure
- Proactive attitude with anticipation of needs
- Strong written and verbal communication skills
- Team-oriented mentality with a hands-on approach
- Excellent organizational and time management skills
- Proficiency with Microsoft Office Suite and Outlook
- Comfortable in fast-paced, demanding environments
- Native or bilingual proficiency in English
