Role Summary

The Inventory Support Officer (ISO) role is divided into two key specializations: management of Point of Sale (POS) terminals within the repair process and oversight of spare parts inventory. The ISO ensures meticulous handling, tracking, and custody controls to maintain seamless alignment between physical stock and inventory management systems (IMS), while supporting timely repair and dispatch operations.

Key Responsibilities - POS Terminals

  • Manage receipt and verification of returned or faulty POS terminals from branch offices, ensuring detailed serial-level matching to waybills.
  • Record all incoming terminals into the IMS within 24 hours, isolating and reporting damaged or missing-serial units via Discrepancy Reports.
  • Facilitate daily allocation of faulty units to technicians and update IMS statuses through all repair stages, enforcing service level agreements for timely processing.
  • Process QA-cleared devices promptly, updating statuses and managing failed QA units with proper classification and storage.
  • Oversee dispatch procedures including creation and approval of dispatch documentation, serial scanning during loading, and confirmation of receipt at destination.
  • Conduct daily physical inventory audits, reconcile discrepancies, and participate in comprehensive periodic stock counts.
  • Maintain clean, clearly segmented storage areas as per SOPs and uphold workplace safety, audit readiness, and environmental standards.

Key Responsibilities - Spare Parts

  • Receive and verify all incoming spare parts consignments against delivery notes, accurately logging parts into the IMS.
  • Organize spare parts storage with clear labelling and environmental controls to protect components.
  • Control issuance strictly via approved Job Cards, ensuring real-time IMS updates and managing returns or incorrect issues.
  • Perform weekly stock reconciliation to identify inventory issues, manage replenishment triggers, and address obsolete or slow-moving items.
  • Generate detailed consumption and stock reports, maintain comprehensive issuance logs, and track part failure data to support procurement feedback.
  • Enforce housekeeping, segregation of duties, and participate in scheduled and surprise inventory audits.

Qualifications and Skills

  • Minimum Ordinary National Diploma (OND) in a relevant field.
  • At least two years’ experience managing inventory operations.
  • Proficient with Microsoft Office applications including Excel, Word, and PowerPoint.
  • Experienced with inventory management and workflow software systems.
  • Strong attention to detail with the ability to manage and prioritize multiple responsibilities independently.
  • Excellent organizational, record-keeping, communication, and stakeholder management skills.
