Role Overview & Impact
The Human Resources Coordinator will deliver administrative and operational assistance within the HR department. This entry-level position supports onboarding processes, employee record management, HR system updates, recruiting coordination, employee communication, and overall HR department activities. The HR Coordinator acts as the initial contact for routine staff and applicant inquiries, directing issues to appropriate personnel. Ideal candidates will be organized, service-oriented, technologically proficient, and diligent in confidentially managing employee information.
Key Responsibilities
Recruitment & Talent Coordination
- Manage candidate communications using standardized templates
- Monitor candidate statuses and maintain records within the applicant tracking system
- Support pre-employment procedures and documentation
- Organize recruitment records and candidate files carefully
- Assist in job fairs, community outreach, internships, and recruiting events
- Ensure candidates experience professional and prompt communication
Onboarding & Offboarding
- Coordinate activities related to pre-employment and onboarding after offer acceptance
- Distribute new hire forms, orientations schedules, instructions, and necessary notices
- Track completion of required pre-employment tasks including background checks and employment paperwork
- Ensure Form I-9 documents are completed and retained timely as per procedures
- Collaborate with hiring managers, payroll, IT, learning and development teams for new hire preparedness
- Confirm new employees receive system access, equipment details, schedules, and orientation materials
- Manage logistics and participation tracking for new hire orientation
- Follow up on outstanding onboarding requirements and forms
- Initiate exit procedures upon authorization, including scheduling interviews or distributing questionnaires
HR Compliance & Documentation
- Help with audits related to personnel files, I-9s, benefits, training, and HR data
- Track mandatory documents, acknowledgments, certifications, and required renewals
- Prepare records for both internal and external audits
- Adhere to HR policies, record retention rules, and confidentiality standards
- Report incomplete or non-compliant documentation promptly
- Maintain updated HR forms, templates, notices, and resources
- Assist with distribution and monitoring of mandatory employee notices
Benefits & Employee Assistance
- Direct questions about benefits plans and eligibility to HR Generalist or designated staff
- Support communications and administrative tasks during annual open enrollment periods
- Assist with routine employee reminders and documentation follow-up
- Respect confidentiality of medical and benefits information
- Participate in benefits and leave-related audits as requested
HR Operations & Administrative Support
- Offer general administrative assistance such as scheduling meetings, tracking training, and compiling reports
- Contribute to HR programs like engagement events, training efforts, and performance review cycles
- Maintain orderly HR records and assist leadership with reporting requirements

Qualifications and Skills
- High school diploma or equivalent is mandatory
- Preferred: at least one year of experience in administration, customer service, office support, recruiting, payroll, healthcare, or HR assistance
- Associate or bachelor’s degree, HR coursework, internships, or relevant professional training may replace some experience
- Candidates new to the field but with strong customer service and administrative skills are encouraged to apply
- Exhibit professionalism, discretion, and ability to safeguard confidential information
- Proficient in Google Workspace: Docs, Sheets, Drive, and Slides
- Capable of independent work while engaging effectively in a remote team environment
Compensation and Schedule
This is a full-time, remote position predominantly based in California (San Diego or Southern California preferred). Compensation ranges from $28 to $30 per hour.
