Job description
Role overview
The Human Resource Specialist supports a single location by managing day-to-day HR administration and contributing to special assignments for the site and region as assigned by the manager.
Key responsibilities
- Coordinate hiring activities such as posting jobs, helping run job fairs, screening resumes, conducting phone screens, and arranging interviews with hiring managers.
- Lead new-employee orientation sessions.
- Create and maintain employee personnel files in line with legal and compliance requirements.
- Handle daily payroll tasks, including time entry, employee payroll maintenance, and weekly payroll closeout.
- Track vacation balances, leave absences, and bonus accruals, and process commissions when needed.
- Support new-hire and open-enrollment benefits administration.
- Assist with compliance documentation, including E-Verify, affirmative action records, FMLA paperwork, and workers’ compensation first reports of injury.
- Attend monthly safety meetings and support the Facility Safety Officer when needed.
- Help managers administer the labor contract, including corrective actions, grievance responses, and meeting notes for grievance discussions.
- Perform periodic HR audits to confirm policies and procedures are being followed.
- Deliver training sessions when requested.
- Take on special projects directed by the Regional Human Resources Manager.
Skills and qualifications
- Comfort using Microsoft Office applications.
- Ability to work confidently with company systems such as Ultimus, UltiPro, Riskmaster, CRS, and related tools.
- Strong people skills and the ability to collaborate effectively in a team setting.
- Bilingual ability is preferred but not mandatory.
Education and experience
- High school diploma is required.
- Associate degree from an accredited college is required; a bachelor’s degree is preferred.
- At least 2 years of experience in human resources is required.
- Willingness to work toward a professional HR certification is expected.
Working conditions
This is an exempt position based in an indoor office environment, with occasional visits to the industrial plant floor of a laundry facility, service center, or depot. The role may require sitting, standing, walking, stooping, reaching overhead, grasping, reading, seeing, speaking, and hearing, along with occasional lifting of up to 30 lbs. Travel may occasionally be needed by car, and in some cases by plane for training sessions or corporate meetings.
Reporting line
The role reports to the General Manager and has a dotted-line reporting relationship to the Regional Human Resources Manager.
