About the Role

The HR Specialist will support the full employee journey with care, accuracy, and strong administrative discipline. This position is responsible for onboarding coordination, background check and drug screening administration, employee data maintenance, and interview scheduling support.

The role is best suited for someone who works well in a structured environment, communicates clearly, handles confidential information responsibly, and pays close attention to detail.

Qualifications

The ideal candidate has an associate degree in Human Resources, Business Administration, or a related discipline, or an equivalent mix of education and work experience. A background of 1 to 3 years in HR support or administrative work is preferred.

Experience with HRIS tools such as ADP Workforce Now is required, along with solid command of Microsoft Office tools, especially Excel, Outlook, and PowerPoint. The role also calls for discretion, accurate data handling, and familiarity with I-9 processes and E-Verify. Experience in manufacturing or defense settings is considered an advantage.

Applicants must be U.S. citizens and must be able to pass comprehensive background and drug screening checks.

Responsibilities

  • Support workplace health, safety, and environmental practices by following and promoting the relevant policies and procedures.
  • Prepare new-hire paperwork, including offer documentation, I-9 verification, and access setup requests.
  • Act as the main contact for new employees from offer acceptance through orientation and onboarding.
  • Make sure all pre-employment steps are completed before start dates, including documentation collection, background checks, and drug tests.
  • Manage drug screening and background verification workflows, including scheduling, vendor coordination, and chain-of-custody records.
  • Keep screening information confidential and share results only with authorized HR staff.
  • Monitor and report screening data to support compliance and audit preparation.
  • Maintain accurate employee records in ADP, including new hires, terminations, and other updates.
  • Review HR records regularly to find and correct data issues that could affect payroll or compliance.
  • Help prepare reports, dashboards, and data extracts for HR leadership.
  • Organize electronic and paper HR files to meet EEOC and federal/state retention rules.
  • Handle paperwork related to leave matters such as FMLA and workers’ compensation in coordination with payroll and HR leadership.
  • Support the creation and distribution of HR communications, such as offer letters and policy updates.
  • Draft job descriptions with manager input and work with HRIS/Payroll teams to post and build job openings.
  • Conduct first-round phone interviews for hourly and entry-level positions to gauge skills, fit, and interest.
  • Arrange interview schedules between candidates and hiring managers.
  • Collect candidate feedback and record disposition details in ADP.
  • Assist with job fairs, campus recruiting, and community outreach activities.
  • Respond professionally to employee questions about policies, benefits, and procedures.
  • Contribute to HR projects and other assigned initiatives as needed.
  • Help maintain a workplace culture built on integrity, safety, fairness, teamwork, and improvement.
  • Take on additional duties as assigned to support HR and broader business goals.
