Job description
Overview
The People and Equity Division of the City of Toronto is seeking HR Representatives to join the Occupational Health, Safety and Wellness team. This full-time contract role, based at Metro Hall in Toronto, involves supporting HR professionals who provide consultation and expertise to city division managers and employees. The position spans critical functional areas including Occupational Health & Safety, Disability Management, Enterprise Learning Initiative (ELI) Learning Management, and Employee Health and Wellness (EHW).
Key Responsibilities
- Compile, analyze, and summarize data related to Occupational Health, Safety, and Disability Management programs, procedures, and policies.
- Serve as a communication liaison between corporate Pension, Payroll, Employee Benefits staff, divisional personnel, union representatives, and external stakeholders on People & Equity matters.
- Manage and utilize various software systems including QuatroSafety, SAP, LiveLink for operational processes.
- Coordinate the Toronto Public Service Training calendar, scheduling, and managing training sessions for the Occupational Health, Safety & Wellness team.
- Deliver high-quality customer service by responding to inquiries and assisting with training registrations, withdrawals, and cancellations.
- Research and prepare reports on learning systems and tools, producing resource materials such as manuals, attendance lists, and training data.
- Participate in team projects aimed at system and operational improvements regarding training assessments, testing, and reporting.
- Perform administrative duties for Employee Health & Wellness including account reconciliation, file and records management, and reception tasks for both in-person and virtual clinics.
- Provide general administrative support for People & Equity programs, including scheduling meetings, preparing correspondence, maintaining confidential records, and processing purchase requisitions and vendor invoice payments in compliance with policies.
Qualifications & Skills
- Substantial administrative experience supporting HR professionals in a dynamic, multidisciplinary environment, ideally with exposure to key job functions.
- Proficient in preparing detailed reports, spreadsheets, presentations, and familiar with MS Office Suite.
- Experience or working knowledge of HR practices and legislations related to WSIB, Disability Management, and Health & Safety.
- Post-secondary education in Occupational Health & Safety, Disability Management, Human Resources, or relevant equivalent experience.
- Strong research and analytical abilities to compile data and produce reports that support management decisions.
- Excellent interpersonal and communication skills, with a demonstrated ability to handle confidential information sensitively and work collaboratively with diverse stakeholders.
- Effective problem-solving, multitasking, organizational skills, and resourcefulness to manage competing priorities under strict deadlines with limited supervision.
- Understanding and application of employment-related legislation and collective agreements such as the Workplace Safety & Insurance Act, Employment Standards Act, Ontario Human Rights Code, and Occupational Health & Safety Act.
Additional Information
This position is non-union, full-time, with approximately 5-10 months duration. The regular work schedule is Monday to Friday, 35 hours per week. Four vacancies are available. The salary range for this role is $46,455 to $77,455 annually. The job location is at Metro Hall, 55 John Street, Toronto, ON.
