Role Overview
The HR Onboarding Specialist is tasked with managing comprehensive onboarding activities for both Moffitt employees and Non-Employed Moffitt Personnel (NEMP), ensuring compliance with HR-related requirements. Acting as the primary liaison from offer acceptance through orientation, the specialist maintains ongoing communication with candidates, recruiters, and hiring managers. The role includes overseeing onboarding and screening processes for multiple NEMP groups and individuals associated with the Office of Clinical Education (OCE).
Key Responsibilities
- Coordinate the initiation of onboarding and schedule appointments, including managing updates and remote lab coordination with Occupational Health.
- Conduct onboarding sessions for new hires.
- Utilize HRIS platforms to input data, monitor onboarding progress, and generate activity reports, ensuring timely completion of all onboarding requirements via collaboration with recruiters, candidates, and hiring managers.
- Collaborate with non-HR teams to create badges, activate IT access, and ensure only authorized individuals access orientation sessions, hospital premises, and systems.
- Execute compliance-related tasks such as license verification via primary sources, I-9 documentation validation and submission through third-party vendors, review of background screenings, and candidate disposition.
- Stay current with HR legal and regulatory changes, recommend procedural and policy modifications to HR Management, and update HR processes accordingly to maintain compliance.
- For NEMP, Research, or OCE: Manage Affiliation Agreements and Certificates of Insurance with academic institutions, in cooperation with the Office of General Counsel (OGC) or external counsel.
- Coordinate with OGC to align NEMP onboarding with specific contract terms and ensure IT access is appropriate per contracted agency requirements, tracking contractual variations to guide onboarding screenings.
- In a Research context, liaise with OGC and Oncology Networks to establish connections with organizations and individuals engaged in scholarly activities at Moffitt; coordinate visitor schedules with faculty mentors ensuring meaningful engagements; verify visas for international visitors and perform Authorized Representative Official (ARO) check-ins.
- Create and maintain HRIS roles and reporting structures for NEMP to facilitate automated processes and document IT access permissions required for roles.
- Perform additional duties as assigned.
Qualifications
- Possession of a High School Diploma or GED.
- A minimum of five years’ experience supporting business operations.
Salary and Compensation
The expected base salary range for this position is from $22.19 to $33.83 per hour. Compensation may vary due to geographic location, qualifications, experience, skills, education, and internal equity considerations.
