Overview
The HR Executive plays a vital role in supporting and managing a variety of human resource functions within the organization. Reporting to the HR Manager or HR Head, this role handles recruitment, onboarding, employee relations, payroll, attendance tracking, performance management, compliance, training, and general HR administration. They ensure effective implementation of HR policies, foster a positive employee environment, and uphold adherence to labor laws and company standards.
Core Responsibilities
- Collaborate with department leaders to determine staffing needs and prepare job advertisements distributed on employment platforms and social media.
- Source candidates through multiple channels and conduct resume screening, shortlisting, interview scheduling, and preliminary HR interviews.
- Coordinate recruitment processes with hiring managers, prepare offer letters, negotiate within salary guidelines, and follow-up until the candidate joins.
- Manage onboarding activities, including completion of documentation, verification of credentials, collection of statutory documents, conducting orientation sessions, and facilitating system and workstation setup.
- Maintain and update employee records within HRIS/ERP systems, issue various HR letters (appointment, confirmation, promotion, transfer, experience, relieving), and track leave, attendance, probation, and confirmation dates.
- Oversee daily attendance monitoring, absenteeism tracking, leave application processing, and monthly attendance reports.
- Coordinate payroll preparation by verifying attendance and overtime, processing incentives, deductions, and bonuses, and addressing salary-related queries while liaising with payroll vendors.
- Address employee grievances, support positive workplace relationships, conduct individual discussions, resolve conflicts, and uphold confidentiality.
- Assist in performance management by tracking appraisal cycles, KPIs, collecting reviews, and facilitating improvement plans.
- Identify training needs, organize and monitor training programs, and support career development efforts.
- Plan and execute employee engagement and wellness activities, celebrations, surveys, and team-building events.
- Ensure labor law compliance, maintain statutory records, coordinate audits, and support statutory deductions related to PF, ESI, PT, gratuity, bonuses, and applicable labor regulations.
- Manage exit formalities including conducting interviews, processing resignations, clearance procedures, settlements, and issuing experience and relieving letters.
- Communicate and implement HR policies, maintain employee handbooks, and support new HR initiatives.
Daily Duties
- Review attendance and leave data.
- Respond to HR-related employee inquiries.
- Screen applications and schedule interviews.
- Update employee files and manage onboarding tasks.
- Generate HR reports and maintain communication with hiring managers.
- Follow up on pending documentation.
Weekly Duties
- Conduct candidate interviews and review recruitment progress.
- Organize orientation sessions and meet with department heads about staffing.
- Resolve employee concerns and update recruitment records.
Monthly Duties
- Prepare payroll submissions and HR reports.
- Review attendance and manage engagement activities.
- Track probation progress and coordinate appraisals.
- Ensure compliance documentation is up to date.
Required Qualifications and Experience
- Bachelor's degree in Human Resources, Business Administration, Commerce, Psychology, or related fields.
- Preference for candidates with MBA/PGDM in Human Resources and HR certifications.
- 1-3 years of practical experience in recruitment, HR operations, payroll support, or employee relations.
Technical and Interpersonal Skills
- Proficient in recruitment, candidate sourcing, interview coordination, HR documentation, payroll processes, attendance management, and HRIS software.
- Strong command of Microsoft Excel, Word, and PowerPoint.
- Excellent communication, interpersonal, problem-solving, organizational, negotiation, conflict resolution, and time management abilities.
- High attention to detail, ethical conduct, confidentiality, adaptability, and teamwork.

- Experience in recruitment management, employee engagement, HR administration, and compliance awareness.

- Performance indicators include recruitment cycle time, offer acceptance rates, retention, employee satisfaction, attendance and payroll accuracy, documentation completeness, turnover, training completion, compliance audits, and grievance resolution speed.
