Role Summary
The HR Administrator plays an integral role within the human resources team by supporting employees and leadership throughout the entire employee lifecycle. Responsibilities include facilitating a seamless onboarding experience for new hires, managing recruitment administrative tasks, and overseeing day-to-day HR operations with precision and professionalism. The role involves processing employee transactions, maintaining confidential records, and backing HR programs such as immigration, disability management, and agency worker administration.
This position acts as a central HR contact, managing the HR ticketing system, ensuring regulatory compliance and audit readiness, preparing HR reports, and contributing to the implementation of HR systems as well as employee engagement and communication initiatives. Ideal candidates are detail-focused, service-oriented individuals aiming to advance their career in HR while sustaining a positive and confidential employee experience. The role requires full-time presence at the Vaughan, ON head office.
Key Responsibilities
- Coordinate weekly new hire onboarding, ensuring all employment documents such as SIN, work authorization, and identification are collected and validated.
- Create and update personnel files for new and existing staff.
- Monitor completion of new hire paperwork and update HR information and enterprise systems accordingly.
- Process timely and accurate employee lifecycle transactions like hires, terminations, pay changes, and leaves within HRIS and ERP platforms.
- Prepare and manage employment documentation including agreements and offer letters.
- Support immigration documentation processing and disability management initiatives including WSIB claims and return-to-work coordination.
- Serve as the HR team’s administrative support point, handling daily operations and managing the HR ticketing platform to efficiently respond to employee inquiries.
- Maintain confidential employee records across digital and physical systems including Dayforce (HRIS), D365 (ERP), and Concur.
- Maintain organizational charts and employee listings, track HR transactions, and assist with audit preparations including ISO compliance.
- Manage timesheet processing and invoice reconciliation for agency and temporary staff.
- Support government forms compliance such as T2200 and Service Canada submissions.
- Send reminders for employee savings and benefits programs like RRSP enrollment.
- Assist Dayforce HRIS implementation activities including testing and communication support.
- Facilitate employee engagement activities, internal communications, and event planning including celebrations and recognition programs.
- Act as frontline contact for HR inquiries, ensuring confidentiality and professionalism, escalating complex cases appropriately.
- Support consistent application of HR policies and forms, handle exit interviews and track work permit and contract expiry dates.
- Assist full-cycle recruitment processes from job postings, candidate communication, pre-screening, background checks to onboarding support.
- Manage employee referral programs and recruitment recordkeeping.
Minimum Qualifications
- College diploma or university degree in Human Resources, Business Administration, or related disciplines.
- Between one to three years of experience in HR coordination, support, or administration roles.
- Proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
- Strong organizational skills with close attention to detail and efficient time management.
- Excellent communication skills both written and verbal.
- Ability to manage sensitive and confidential information with discretion and professionalism.
- A motivated, proactive approach with eagerness to learn and grow in the HR field.
- Adaptability to work effectively in a dynamic and high-paced environment.
Additional Assets
- Progress toward or holding a CHRP or equivalent professional HR designation.
- Work experience with HRIS, ERP systems such as Dayforce, D365, Concur, and HR ticketing platforms like Zendesk.
- Knowledge of payroll, benefits, and timekeeping support.
- Experience in ISO standards or compliance/audit environments.
- Bilingual or multilingual capabilities, especially for translation of HR materials.
- Collaborative team skills to back up HR generalists and colleagues as needed.
