Role Responsibilities
- Liaising with various departments such as banqueting, catering, audiovisual, and housekeeping to ensure smooth event execution.
- Managing client expectations and requirements for corporate events, weddings, and social gatherings.
- Delivering exceptional client service and handling last-minute changes calmly and efficiently.
- Coordinating efforts between vendors, hotel teams, and clients to facilitate seamless communication.
- Developing event proposals tailored to clients’ desires and expectations.
- Overseeing multiple events concurrently, managing budgets, contracts, and deadlines.
- Prioritizing tasks effectively, especially under pressure.
- Promoting additional hotel services such as catering, accommodation blocks, and audiovisual options.
- Negotiating terms with clients and vendors to ensure favorable outcomes.
- Preparing cost estimates, managing invoicing, and overseeing event profit and loss statements to guarantee event profitability.
- Addressing unforeseen challenges including weather issues, equipment failures, or staffing shortages with quick, creative decision-making.
- Demonstrating familiarity with hotel property management system (Opera) and event management software.
- Understanding basic AV equipment operations including projectors, microphones, and staging setups.
- Ensuring adherence to all hotel policies, thorough review of banquet event orders, and verification of room setups, dietary needs, and event schedules.
- Delivering a flawless experience for all guests attending events.
Candidate Profile
- Proven experience in planning hotel events and weddings.
- Exceptional attention to detail coupled with strong communication abilities.
- Capable of following verbal instructions within a high-paced dynamic environment.
- Strong organizational skills with the ability to prioritize multiple responsibilities effectively.
- Personable, outgoing, and friendly demeanor.
- Maintain a professional appearance aligned with the hotel's standards.
- Deep understanding of hospitality operations including guest flow and service quality standards.
- Knowledge of marketing strategies relevant to event promotions and social media.
- Cultural sensitivity and experience working with clients from diverse international backgrounds.
