About the Role
Join Convene Hospitality Group as a Hospitality & Event Coordinator, where you’ll play a vital role in the flawless execution of premium events and meetings. You’ll work closely with Event Production Managers and various operational teams to ensure each gathering unfolds seamlessly—from first greetings to post-event wrap-up. This position is based at our London location.
Key Duties and Responsibilities
- Communicate effectively, both verbally and in writing, with clients and colleagues at all levels, upholding professionalism and resilience.
- Prioritize and manage multiple departmental functions working towards strict deadlines.
- Deliver attentive, courteous, and guest-centric service to visitors, clients, and team members throughout every interaction.
- Handle administrative tasks such as processing visitor entries, managing requests and problem-solving at the front desk.
- Collaborate with Operations and Workplace Partners, facilitating room bookings, handling catering orders, processing building access, overseeing mail and package distribution, and onboarding new members.
- Conduct site tours and lead show rounds when necessary to showcase event spaces and offerings.
- Set up and break down event spaces, assisting during high-demand periods across departments like Production, Technology, Culinary, and Customer Success.
- Maintain orderly welcome desk and coatroom, handle badge printing and materials replenishment.
- Organize unique on-site experiences and welcome moments for members and visitors.
- Manage guest check-in via digital platforms and escort them as required.
- Supervise lost and found, coordinate building cleaning and assorted office supply orders.
- Support the Conference & Events Manager and Chef with scheduling, general administration, and day-to-day operational needs.
- Foster strong partnerships with building management, landlords, and clients, nurturing positive professional relationships.
- Ensure all Standard Operating Procedures and Brand Standards are consistently adhered to, participating in periodic updates when changes occur.
- Utilize key organizational platforms and software, including Salesforce WXM Portal, ProxyClick, Envoy, GoParrot, Square, Robin, ZenDesk, and Microsoft Office suite.
Candidate Profile
- Capable of excellent client interactions, ensuring satisfaction at every event touchpoint.
- Willingness to work flexible schedules and extended hours as needed.
- Ability to move, handle, and set up equipment or materials weighing up to 25 pounds without assistance.
- Comfort with physical activities such as standing, walking, bending, and reaching throughout long work periods.
- Familiarity with basic Audio/Visual equipment setup and operational procedures.
