Job description
Job Purpose
This role supports the Home Orientation function by handling the operational and logistical work needed to deliver a smooth, customer-focused unit handover experience across several communities. While the Home Orientation Executive manages the direct customer handover, this position works behind the scenes to make sure every unit, site, and community is prepared, supplied, scheduled, and serviced before customers arrive.
It serves as the team’s operational backbone, covering site readiness checks, cleaning sign-offs, stock control, scheduling, multi-community coordination, reporting, and procurement follow-up.
Key Responsibilities
- Carry out on-site quality checks and approve completed cleaning work across multiple communities, making sure units meet the required readiness and quality standards.
- Visit at least 2 to 4 communities each week to confirm readiness, resolve site issues, and give timely updates to the team.
- Review site-based pre-orientation activities and verify that they are completed according to the planned schedule.
- Organize and circulate daily cleaning schedules so that all handover cleans are booked and finished within the set timelines.
- Work with cleaning vendors and site teams to manage delays, clashes, or quality concerns, and escalate matters to the line manager when needed.
- Monitor stock for Home Orientation and Key Handover materials across all active communities.
- Keep stock records and replenishment trackers accurate so that no community runs short of required materials before scheduled orientations.
- Arrange safe movement of materials between communities, including use of a personal vehicle where necessary.
- Manage the six-month advance workflow plan received from the line manager and ensure scheduled handover activities are completed on time.
- Plan site visits around workflow milestones, with priority given to communities approaching handover in the near term.
- Maintain a live workflow tracker for visibility across the wider team.
- Use strong Excel and PowerPoint skills to prepare reports, dashboards, and presentations covering cleaning readiness, stock position, scheduling performance, and NPS/CX insights.
- Maintain an action tracker for NPS and customer experience findings and present progress during one-to-one meetings.
- Prepare fact sheets for upcoming communities to support customer communication and team readiness.
- Record weekly one-to-one meetings and share progress updates with the line manager.
- Follow up on outstanding purchase orders with Finance and suppliers until payment is confirmed.
- Keep accurate records of purchase orders and supplier follow-up activity.
- Support the Home Orientation team with ad hoc tasks during busy periods and assist with handover-related activities when required.
- Use AI tools such as ChatGPT, Microsoft Copilot, and Claude automation platforms to help build training materials and knowledge resources for the team.
- Look for opportunities to simplify administrative work through digital tools and AI-driven automation.
Requirements
- Bachelor’s degree in Business Administration, Real Estate, Hospitality Management, or a related discipline.
- Minimum 3 to 4 years of experience in an operations support position.
- Previous exposure to UAE real estate, property handover, or community management is a strong advantage.
- Highly organized with a proactive, hands-on approach and comfort working across both office and field settings.
- Strong written and verbal communication skills, with the ability to prepare professional reports.
- Advanced capability in Microsoft Excel.
- Ability to work confidently with AI-based productivity tools.
Additional Information
This position requires regular movement between office and site locations and may involve transporting materials between communities, including use of a personal vehicle when necessary.
The role also supports a six-month forward workflow plan and requires visibility on weekly one-to-one follow-ups, stock readiness, and handover preparation across several communities.
