Role Overview
We seek an Onboarding Specialist to support a U.S.-based behavioral health organization expanding access to quality mental health care. This non-clinical, operations-focused position ensures a smooth onboarding experience for newly hired healthcare providers. The specialist acts as the primary contact from hiring through pre-call setup, onboarding sessions, and readiness for patient care. The role suits someone with excellent verbal communication, strong attention to detail, and the ability to handle multiple onboarding processes remotely.
Key Responsibilities
- Coordinate with new healthcare providers to schedule and prepare for onboarding calls.
- Complete all administrative setup tasks before providers start, including email, phone, EHR system access, and payroll registration.
- Manage an Airtable-based tracker to monitor onboarding progress and deadlines in real time.
- Lead comprehensive, interactive onboarding sessions of approximately three hours, covering company systems, EHR platforms, clinical workflows, and provider guidelines.
- Establish provider directory profiles on platforms such as Psychology Today, addressing timing and verification needs.
- Facilitate introductions to supervisors and associates, distribute supervision agreements, and handle follow-up documentation.
- Provide ongoing support for providers regarding tools, technical difficulties, and operational procedures after onboarding.
Required Qualifications
- Three to six years of experience in onboarding, provider relations, or coordination roles.
- Excellent spoken communication skills with the ability to guide structured, lengthy onboarding calls clearly and engagingly.
- Strong written English proficiency to compose professional correspondence and documentation.
- Highly organized and deadline-oriented, capable of managing multiple onboarding timelines concurrently without overlooking tasks.
- Comfortable working independently in a fully remote and asynchronous environment aligned with Central Time working hours.
- Proficiency in Airtable, Google Workspace tools, and familiarity with EHR/EMR systems.
- Knowledge of healthcare provider workflows, credentialing processes, and directory listings such as Psychology Today is advantageous.
