Role Overview
We are seeking a Head of Executive / Personal Assistant to provide comprehensive support to the founder and their family. This role involves managing calendars, travel plans, important documents, vendors, budgets, and personal responsibilities, alongside leading a team of four and overseeing operational and project-related tasks.
Core Responsibilities
- Support the founder’s objectives by effective planning and prioritization
- Manage and enhance team operations and workflow
- Coordinate management of personal assets including yacht, helicopter, and vehicles
- Track activities, produce reports, and compare plans versus actual outcomes
- Organize secretariat tasks and monitor execution of duties
- Recruit and supervise contractors and support personnel
- Oversee maintenance, insurance, and operations of assets
- Manage document deadlines, renewals, and submissions
- Handle calendar scheduling, meeting preparation, and material organization
- Lead meetings with note-taking, follow-ups, and action tracking
- Manage budgets, expenses, and financial reports
- Arrange travel plans for business, family, and guests including visa procurement
- Coordinate relocations and logistical arrangements
- Support healthcare scheduling and management
- Carry out various personal and administrative tasks
Qualifications and Skills
- Expertise in calendar and meeting management
- Proven ability in complex travel coordination including multi-stop itineraries
- Experience managing vendors and contractors
- Competency in budget monitoring and expense documentation
- Strong organizational skills for document management and administrative oversight
- Excellent written and verbal communication in business contexts
- Proficient with Excel, Google Sheets, Notion, task tracking, and calendar software
- Capability to develop custom systems, trackers, checklists, and reporting tools
- Professional-level fluency in English and Russian (mandatory)
- Discretion in handling confidential and sensitive information
- Strong prioritization skills and operational planning expertise
