About the role

For the Bielefeld site in the practice laboratory software area, a rapidly expanding healthcare IT business is looking for an operational leader who can create structure, establish scalable workflows, and keep day-to-day operations running smoothly. This position is intended for someone who takes ownership, drives matters through to completion, and works closely with local leadership to build a strong operational foundation for continued growth.

The company is part of a leading healthcare IT group focused on digitalizing healthcare across both clinical and outpatient settings. Its software solutions support medical organizations of different sizes and are used to improve patient care and make processes more efficient.

Operational leadership and office organization

You will manage the office team both disciplinarily and functionally and serve as the main operational contact when leadership is unavailable. Your role includes structuring processes and workflows, resolving escalations, and ensuring the business runs effectively. In the HR area, you will handle onboarding, contract administration, absence planning, and recruitment coordination from job posting through to the employee’s start date.

Commercial control and finance

You will oversee invoicing, billing, and outstanding receivables, while also planning the operational budget together with PARATUS and local management. In addition, you will monitor liquidity, revenue, and costs on an ongoing basis. You will act as the interface to the tax advisor and the PARATUS accounting team, and you will prepare regular management reports for leadership and the holding company.

Strategic partner to local management

In close and trusted cooperation with the local managing director, you will contribute to both operational and strategic topics. You will provide assessments, challenge decisions constructively, and bring in your own ideas. Together with management, you will develop scalable structures that can keep pace with the site’s growth.

Processes, contracts, and compliance

You will document and standardize workflows in SOPs, continuously improve internal processes, and keep customer and supplier contracts, terms, and renewal dates under control. You will also coordinate GDPR-related matters and internal IT license administration in alignment with PARATUS.

Projects, CRM, and marketing support

You will support customer projects from implementation through rollout and assist with resource planning, SLA monitoring, and status reporting. You will also help introduce the CRM system and contribute to marketing activities such as trade fairs, newsletters, and the website, while acting as an internal link between external service providers and PARATUS.

What this role requires

The role calls for at least 5 years of hands-on leadership experience in an IT systems house, a healthcare IT company, or a similar technology-driven service business, ideally in a growing SME environment with 20 to 100 employees. A degree in business informatics, business administration, healthcare management, or an equivalent practical qualification is preferred. You should think in terms of structure, act pragmatically, take responsibility without waiting for instructions, communicate clearly, lead with empathy, assert yourself when needed, and know when to decide independently versus align with others. Confident English communication is also required.

The compensation package is attractive, with an annual salary of EUR 80,000 to 100,000 depending on experience.
