Job description
About the Role
As a Guest Relations Agent reporting to the Guest Relations Manager, you will oversee and lead all aspects of Guest Relations in line with established hotel standards at Kempinski Hotels in Al Khobar, Saudi Arabia. Your focus will be ensuring exceptional service experiences for VIP guests and regular patrons alike.
Key Responsibilities
- Manage administrative tasks collaboratively with the Guest Relations Manager.
- Conduct daily reviews of VIP guest lists and coordinate corresponding activities.
- Monitor and control expenditures related to VIP services.
- Ensure strict compliance with the VIP Policy.
- Coordinate with various departments to confirm guest requirements are fulfilled on arrival days.
- Perform advance verification of guest requests three days and then one day before arrival.
- Inspect VIP arrival rooms to guarantee cleanliness and readiness before check-in.
- Warmly welcome guests upon arrival and escort them to their rooms or suites.
- Address guest feedback and complaints promptly, with appropriate documentation and reporting.
- Maintain in-depth knowledge of hotel promotions and activities.
- Assist guests daily with inquiries and arrange necessary services.
- Prepare and distribute VIP amenity forms accurately.
- Update and verify guest profiles continuously.
- Ensure cleanliness and neat presentation within the department.
- Support the Guest Relations Supervisor with recruitment, training, performance evaluations, inductions, consultations, and if necessary, terminations to ensure optimal staffing and efficiency.
- Represent the Guest Relations Supervisor at departmental meetings as required.
- Promote strong inter-departmental collaboration, especially with Front Office management.
- Co-maintain service standards, conducting regular reviews and facilitating targeted training to uphold quality.
- Organize periodic department meetings focused on performance reviews, sharing information, and proposing improvements.
- Be prepared to undertake additional duties as necessary based on business and hotel needs.
