Job Overview
We are seeking a dedicated Fleet Coordinator to manage and optimize delivery schedules, routing, and fleet operations within our logistics department at Panda Retail Company in Rābigh, Makkah, Saudi Arabia. This role focuses on maximizing fleet utilization, accurate delivery tracking, and ensuring timely order shipments.
Key Responsibilities
- Manage delivery schedules and assign routes through systems to meet fleet KPIs and optimize route planning effectively.
- Ensure precise recording of all deliveries, including backloads, in company systems to maintain accurate data.
- Optimize in-transit fleet trucks for backloads from suppliers to minimize waiting times.
- Implement the Incentive Policy, monitoring cost per kilometer and regional factors to optimize driver-related expenses.
- Issue diesel vouchers following standard operating procedures and company policy.
- Record trip distances accurately in the system to align with incentive calculations.
- Guarantee drivers' availability as per schedule to ensure on-time order deliveries.
- Coordinate with the outbound team to obtain floor counts for ready-to-load orders, maximizing truck and fleet utilization.
- Open and close delivery trips within the system to maintain precise operational records.
- Provide timely reports to the line manager for increased operational transparency.
- Promptly report any fleet management issues to the line manager and follow up to mitigate business risks.
- Collaborate with drivers and stores to confirm timely unloading of shipments.
- Capture and record Proof of Delivery (POD) in the system when closing trips.
- Implement a rotation system among drivers across regions to maintain fairness.
- Adhere strictly to company safety guidelines, maintain company assets, and contribute to a safe working environment.
Additional Information

Qualifications and Skills
- At least two years of professional experience in a related logistics or fleet coordination role.
- Proficient in English reading and writing.
- Competent with computer applications, especially Microsoft Office.
- Familiarity with Transportation Management Systems (TMS) and Warehouse Management Systems (WMS) is advantageous.
- Strong communication, time management, and follow-up capabilities.
