Role Overview
Alomar Holding Company is a Saudi Arabia-based investment group focused on real estate development and the management of properties and assets. The organization is hiring an Executive Secretary in Riyadh to assist senior leadership and keep executive operations running smoothly with a strong emphasis on professionalism, accuracy, and confidentiality.
Key Responsibilities
- Deliver day-to-day secretarial and administrative assistance to senior management, including handling calendars, coordinating schedules, and managing daily agendas.
- Draft and format formal letters, emails, reports, presentations, and internal memorandums in both Arabic and English.
- Maintain company records, contracts, files, and documents in an organized and highly confidential manner.
- Liaise with internal teams, clients, consultants, contractors, and other external stakeholders to keep communication and follow-through on track.
- Set up meetings, prepare minutes, and monitor assigned action items to support timely completion.
- Assist with documentation related to real estate activities, such as project files, contracts, and administrative follow-ups.
- Handle document control tasks, including version management, filing, approvals, and archiving.
- Act as a professional representative of the executive office in written and verbal communication.
- Carry out other administrative duties as directed by management.
Requirements
- A bachelor’s degree or diploma in Business Administration, Office Management, Secretarial Studies, or a similar discipline.
- At least 3 years of experience in an Executive Secretary, Executive Assistant, Administrative Assistant, or equivalent position supporting senior executives.
- Background in real estate, contracting, development, or property management is required.
- Strong working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Excellent Arabic communication skills and good English proficiency for business correspondence.
- Ability to manage executive schedules, coordinate meetings and appointments, document minutes, and follow up on action points effectively.
- Experience dealing with official paperwork and contracts, including drafting, formatting, filing, and approval tracking.
- Applicant must be a Saudi national and male.
- Preferred exposure to Odoo ERP.
- Experience with task management systems and structured follow-up processes is an advantage.
- Familiarity with approval workflows for contracts, purchase requests, payments, formal letters, or management decisions is preferred.
- Knowledge of methods such as action logs, meeting minute trackers, and department follow-up sheets is beneficial.
- Experience in organized corporate environments that operate with policies, authority matrices, and internal procedures is an asset.
- Ability to communicate with real estate clients, owners, consultants, contractors, government-related service providers, or property management firms is preferred.
- Capability to prepare formal Arabic correspondence for external stakeholders is an advantage.
- Certification or training in office administration, executive secretarial work, business communication, or document control is preferred.
