Overview
HSBC is seeking a skilled Executive Assistant in London to deliver comprehensive support to the Global Head of Securities Services. This 6-month contract role demands exceptional discretion, sound judgement, and superior organizational skills to manage strategic priorities, client interactions, governance, leadership, and business operations.
Key Responsibilities
- Oversee the Global Head's calendar across various time zones, ensuring alignment with strategic initiatives, governance, leadership activities, and critical business tasks.
- Serve as a trusted gatekeeper by managing meeting requests, prioritizing competing demands, and securing appropriate attendees, materials, and clear outcomes.
- Organize high-level meetings, leadership sessions, Executive Committee (ExCo) rhythms, client briefings, business reviews, town halls, and governance forums, handling agendas, logistics, preparatory documents, follow-ups, and action tracking.
- Arrange domestic and international travel for senior executives efficiently, ensuring compliance and business priority alignment.
- Maintain smooth information flow within the Global Head's office, prioritizing communications, managing confidential information, and escalating urgent or significant matters suitably.
- Assist the Business Manager in preparing executive-ready materials such as briefing packs, meeting notes, talking points, correspondence, and ad-hoc submissions, focusing on quality and timely delivery.
- Work in tandem with the Business Manager to manage office priorities, governance schedules, leadership rhythms, follow-ups, and critical business management duties.
- Develop and maintain strong relationships with senior internal and external stakeholders, including leadership teams, regional and product heads, business partners, clients, and executive offices.
- Administer purchases, expense reports, approvals, and other administrative processes with accuracy and adherence to internal policies.
Required Qualifications and Skills
- Proven track record in Executive Assistant, Personal Assistant, or senior business support roles, preferably supporting senior executives or global leadership.
- Expertise in managing complex executive calendars involving multiple time zones and competing priorities.
- Experience in coordinating international travel, high-level meetings, leadership forums, client engagements, and executive events.
- Superior planning, prioritization, and organizational capabilities with a proactive approach and ability to work swiftly.
- Excellent verbal and written communication skills capable of producing concise, polished executive materials and correspondence.
- Demonstrated discretion, confidentiality, and judgment handling sensitive organizational, personnel, and client information.
- Confidence in interfacing with senior stakeholders and external parties with professionalism and strong interpersonal aptitude.
- Advanced proficiency in Microsoft Office Suite, Outlook, Teams, and collaborative platforms to support high-caliber executive outputs and documentation.
- Exceptional attention to detail and consistency in tracking and delivering commitments and deadlines.
- Adaptability, resilience, and a solutions-oriented mindset suitable for a dynamic, fast-paced global environment.
- Ability to collaborate closely with the Business Manager ensuring alignment on governance, stakeholder engagement, and follow-up activities.
- Credibility and capability to work seamlessly with executive offices, business management, HR, communications, risk, finance, and partner teams.
Additional Information
This is a 6-month contract position based in London with a offered pay of £350 per day under PAYE. The role requires working onsite and handling sensitive, high-level organizational tasks.
