  • Work closely with senior leaders and direct reports to keep coordination running smoothly.
  • Manage a complex diary across several time zones and competing commitments.
  • Set up meetings, leadership reviews, offsites, and wider business events.
  • Arrange monthly and quarterly business reviews as well as senior leadership sessions.
  • Handle a high-volume inbox, sorting and responding to messages where suitable.
  • Organise international and domestic travel, including flights, hotels, and ground transport.
  • Support visa arrangements and ensure destination-specific travel rules are followed.
  • Submit and track expenses using Concur.
  • Prepare briefings, presentations, reports, and meeting packs.
  • Maintain electronic records, filing systems, and related documentation.
  • Join meetings, record minutes, and follow up on actions until completion.
  • Act as a main contact point for internal and external stakeholders.
  • Assist with onboarding tasks such as equipment requests and system access for new starters.

What the employer is looking for

  • Substantial experience as an Executive Assistant supporting C-suite or other senior executives.
  • Background in a global matrix organisation is preferred.
  • Experience working with international stakeholders across different regions and time zones.
  • Strong diary, meeting, and travel coordination capabilities.
  • Confident stakeholder management skills, including interaction at senior level.
  • Advanced ability in Microsoft Office tools such as PowerPoint, Excel, Outlook, and Teams.
  • Comfort using video conferencing tools and wider business systems.
  • Excellent organisation and the ability to juggle several priorities at once.
  • Ability to treat sensitive and confidential information with complete discretion.
  • Sound judgement, strong attention to detail, and practical problem-solving skills.
  • Experience in the insurance sector, especially claims, would be an advantage.
  • Experience supporting senior leaders in insurance or financial services would also be beneficial.
  • Familiarity with Concur expense management is desirable.
