Role Overview

The Executive Assistant position is a full-time hybrid role in Austin, TX, with some flexibility to work from home. The person in this role will provide senior-level administrative support to executives, including calendar coordination, meeting scheduling, travel arrangements, and expense reporting. The role also involves organizing incoming priorities, drafting and reviewing correspondence, maintaining secure records, and helping keep communication flowing smoothly across executives, internal teams, and outside partners.

Key Duties

  • Manage executive calendars and coordinate appointment scheduling.
  • Arrange travel and handle related itineraries and logistics.
  • Prepare, track, and submit expense reports and other basic financial paperwork.
  • Sort, prioritize, and respond to incoming requests in an organized way.
  • Draft, edit, and proofread professional correspondence.
  • Maintain confidential files and records with discretion.
  • Coordinate meetings involving both internal colleagues and external stakeholders.
  • Support the creation of presentations and reports.
  • Help ensure efficient communication between executives, team members, and outside partners.
  • Handle several priorities in a busy, fast-moving work environment.

Qualifications and Experience

  • Strong background in executive and administrative support, including calendar management and meeting coordination.
  • Demonstrated experience supporting senior leaders and managing confidential information.
  • Ability to prepare and organize expense reports and basic financial documents.
  • Excellent written and verbal communication skills for professional interaction with diverse stakeholders.
  • Solid organizational ability, attention to detail, and comfort using office productivity software such as Microsoft Office or similar tools.
  • Capability to work independently while also contributing effectively within a team.
  • Experience in professional services, healthcare, or consulting is a plus.
  • Preferred education includes an associate degree or bachelor’s degree in business, communications, or a related discipline, or equivalent practical experience.
