Position Summary
We are seeking a highly capable Executive Assistant and Office Manager to act as a strategic partner to our CEO while overseeing daily operations at our New York City headquarters. This role involves end-to-end management of the CEO’s calendar, communications, travel arrangements, and expenses. Additionally, you will oversee the NYC office environment to foster an efficient and engaging workspace, coordinate with our San Francisco part-time office manager, and support the setup of our expanding London office. As an early hire in operations, your contributions will significantly enhance the CEO's effectiveness and team productivity.
Key Responsibilities
- Manage the CEO’s calendar comprehensively, including scheduling, prioritization, conflict resolution, and safeguarding time for critical strategic initiatives.
- Oversee the CEO’s inbox by triaging messages, drafting replies, escalating urgent matters, and tracking commitments to completion.
- Arrange both domestic and international business and personal travel, booking flights, accommodations, transportation, and preparing detailed itineraries.
- Prepare and file all expense reports and reimbursement requests.
- Coordinate preparation of agendas and briefing materials and support logistics for board meetings, leadership sessions, all-hands, and onsite/offsite events.
- Provide personal administrative support such as liaising with accountants, tax professionals, and other service providers.
- Manage NYC office operations including supplies, equipment, mail, facility issues, and vendor relationships while collaborating with the SF office manager to maintain seamless operations at both locations.
- Organize and execute team events and celebrations, welcome guests and visitors, and assist with operational planning for the London office launch.
- Handle all sensitive and confidential information with the utmost discretion.
Candidate Profile
- Possess at least three years of executive assistant experience, ideally supporting a C-level executive or company founder.
- Demonstrated expertise in complex calendar management, travel bookings, and expense processing with meticulous attention to detail.
- Exhibit strong ownership mentality, resolving issues proactively, minimizing barriers, and driving rapid progress.
- Excel in cross-functional communication and collaboration with leadership, employees, and external partners.
- Show enthusiasm for AI technologies and thrive in fast-paced startup environments focused on growth from initial stages.
Preferred Skills and Experience
- Experience in early-stage or rapidly growing startup environments.
- Background in office management or workplace operations, especially coordinating multiple locations or across time zones.

Compensation Details
The salary range for this part-time position is between $90,000 and $140,000 annually.
