Job description
Role Overview
This position provides senior-level administrative and executive support to the APAC Regional Business Director. The role is focused on keeping day-to-day regional activities organized, maintaining momentum on strategic priorities, and helping the director operate efficiently across multiple countries and time zones.
Executive and Administrative Support
- Deliver end-to-end executive assistance, including managing a demanding calendar, arranging meetings across different time zones, and ordering appointments by priority.
- Draft, check, and refine emails, reports, presentations, and other materials prepared for senior leadership discussions.
- Serve as a reliable buffer and point of control to protect the director’s time and support better decision-making.
Project Management and Initiative Support
- Assist with regional projects and strategic initiatives by planning tasks, coordinating activities, monitoring progress, and following up on dependencies and risks.
- Keep track of deliverables, milestones, and action items so work is completed on time across teams and geographies.
- Help run governance processes such as project reviews, progress updates, and leadership reporting.
Travel and Logistics
- Arrange domestic and international travel, covering flights, hotels, visas where needed, and detailed itineraries.
- Support logistics for leadership meetings, regional business reviews, and offsite events.
Stakeholder and Communication Support
- Act as a coordination link between the APAC Regional Business Director and internal teams such as HR, Finance, Marketing, and Commercial, as well as external vendors, partners, and agencies.
- Handle external communication and public-relations coordination when required, while following company communication standards.
Confidentiality and Information Handling
- Manage sensitive and confidential information with a high level of discretion and professionalism.
- Maintain well-organized digital and physical filing systems so records and documents are easy to retrieve.
Team and Event Support
- Support team engagement activities, leadership meetings, and regional events as needed.
- Take on additional duties assigned by the APAC Regional Business Director.
Qualifications and Skills
- Bachelor’s degree in Business Administration or a closely related discipline.
- At least 10 years of experience as an Executive Assistant or in a comparable senior administrative position, ideally supporting regional or senior leaders.
- Background in project coordination, with multinational or APAC regional experience considered an advantage.
- Strong organizational and prioritization abilities in a fast-moving, multi-country setting.
- Self-driven, practical, and able to anticipate executive requirements before they are raised.
- Capable of working independently while also partnering effectively across teams and cultures.
- Advanced proficiency with Microsoft Office tools including Outlook, PowerPoint, Excel, and Word, plus collaboration platforms.
- Clear written and spoken communication skills.
- Excellent time management and the ability to juggle multiple tasks smoothly.
- Professional presence and the confidence to interact effectively with stakeholders at all levels.
- English fluency is mandatory; knowledge of additional APAC languages is beneficial.
