Job Description

  • Act as a key trusted partner and central organizational figure alongside the German management team
  • Provide proactive support to executive leadership within an international corporation featuring complex structures and diverse interfaces
  • Independently establish and continuously develop a professional executive office offering significant creative freedom
  • Anticipate necessary actions and independently drive the advancement of topics, decisions, and initiatives
  • Efficiently manage and prioritize a demanding executive calendar
  • Prepare, coordinate, and monitor management meetings, workshops, and strategic decision-making processes
  • Assume ownership for managing executive-related projects and special topics with high visibility
  • Serve as a key contact for national and international leaders, staff, and external partners, managing correspondence in both German and English
  • Organize and plan domestic and global business travel, events, and additional administrative matters
  • Undergo a multi-month transition and onboarding phase with comprehensive knowledge transfer from the outgoing incumbent

Qualifications

  • Bachelor’s degree or higher in business administration, commerce, or a related field
  • Several years of experience as an Executive Assistant, Management Assistant, or in executive support roles
  • Proven expertise in project management and independently handling complex projects at the management level
  • Strong proactive mindset combined with the ability to initiate, promote, and successfully execute assignments independently
  • High level of initiative, entrepreneurial thinking, and sense of responsibility
  • Hands-on, pragmatic working style with a focus on delivering tangible business value
  • Experience working in an international corporate setting and matrix organizations
  • Fluent German and English communication skills, both written and spoken (minimum C1 level)
  • Professional presence, excellent communication skills, and diplomatic tact
  • Absolute integrity, discretion, and trustworthiness when handling sensitive information
