About the Role
You will serve as the vital operational support for the General Counsel and the wider legal department, ensuring smooth and efficient functioning so legal professionals can focus on complex regulatory and legal challenges in developing a pioneering financial market.
Key Responsibilities
- Manage intricate calendars for multiple attorneys, coordinating across time zones and balancing competing priorities.
- Arrange and oversee all aspects of domestic and international travel, including flights, accommodations, transport, and detailed itineraries.
- Prepare and organize meeting materials such as documents, presentation decks, and briefing books for meetings, board sessions, and regulatory discussions.
- Handle expense reports, reimbursements, and coordinate billing and invoicing with external legal counsel.
- Act as a liaison among the legal team, internal stakeholders, outside lawyers, and regulators with professionalism and confidentiality.
- Support document management duties including filing and organizing contracts, corporate records, and legal correspondence.
- Plan and facilitate legal team events, offsites, and meetings.
- Perform occasional personal tasks and errands to enable legal leaders to maintain focus and efficiency.
- Manage highly confidential and sensitive information with discretion and sound judgment.
Candidate Profile
- At least 4 years' experience as an Executive Assistant, legal secretary, or paralegal support, ideally within a large law firm environment.
- Strong familiarity with legal terminology, workflows, and the pace of both law firm and in-house legal operations.
- Exceptional organizational skills and meticulous attention to detail to juggle multiple workstreams effectively.
- Excellent verbal and written communication skills, comfortable engaging with outside counsel and regulators.
- A proactive and resourceful problem solver who anticipates needs and takes initiative.
- Adept at managing competing priorities and balancing demands from various stakeholders.
- Willingness to work extended hours as necessary.
- High level of professionalism and discretion handling confidential material.
- Must be willing and able to work on site in the downtown Manhattan office.
Compensation
The annual salary range for this position is $90,000 to $140,000, complemented by equity and benefits. This range reflects market data and experience variance. Candidates with expectations outside this range are encouraged to inquire as discussions are welcomed.
