Role Overview

This Executive Assistant position is a vital support role for the Chief Revenue Officer and other top executives at Daniel Defense. The role requires an exceptionally organized, proactive individual capable of juggling varied administrative and communication duties with utmost discretion and professionalism. Responsibilities include orchestrating complex schedules, managing communications, preparing detailed reports and presentations, and ensuring seamless internal collaborations. An ability to anticipate executive needs, exercise sound judgment, and prioritize high-impact tasks is essential for driving organizational success.

Key Responsibilities

  • Coordinate and maintain comprehensive calendars for the CRO and other senior executives, including meetings and events.
  • Arrange elaborate travel plans, itineraries, and logistical details.
  • Draft, review, and edit sensitive correspondence, reports, and executive presentations.
  • Manage incoming and outgoing communications such as emails and phone calls.
  • Schedule and organize conference calls, video meetings, and external events.
  • Compile and prepare data-driven reports for leadership evaluation.
  • Serve as the intermediary between executives and stakeholders to facilitate effective communication.
  • Assist in meeting preparations including agenda development and minute documentation.
  • Handle and organize confidential documents and records securely.
  • Support executives with personal tasks to maximize their efficiency.
  • Participate in company meetings and contribute strategically.
  • Investigate, prioritize, and manage concerns raised to senior leadership.
  • Coordinate cross-department initiatives such as travel and outreach programs.
  • Ensure adherence to company policies and relevant regulatory standards.
  • Promote health and safety by following environmental and workplace guidelines.
  • Help cultivate a positive, equitable, and respectful organizational culture.

Qualifications

  • Associate's degree or equivalent combination of education and relevant experience.
  • At least 5 years of experience supporting senior management, ideally in manufacturing or corporate settings.
  • Demonstrated ability to support C-level executives with confidentiality and discretion.
  • Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
  • Excellent organizational, time-management, and detail-oriented capabilities.
  • Strong verbal and written communication proficiency.
  • Competence in multitasking and prioritizing effectively.
  • Experience preparing executive-level presentations and analytical reports.
  • High emotional intelligence and interpersonal skills to foster relationships.
  • Ability to operate both independently and collaboratively in fast-paced environments.
  • Physical capability to lift up to 50 pounds and safely work in manufacturing areas with appropriate protective equipment.
