Role Summary
The Executive Assistant will partner closely with the Chief Product Officer (CPO) to ensure the efficient operation and leadership within a dynamic Research & Development (R&D) environment including Engineering, Product, Design, and Research teams. This role demands proactive management beyond traditional scheduling, emphasizing operational excellence, prioritization, and cross-functional coordination to amplify the CPO’s impact.
Key Responsibilities
- Manage and optimize the CPO’s calendar across various time horizons, ensuring focus on top priorities.
- Coordinate complex travel arrangements domestically and internationally along with associated briefings and contingency plans.
- Oversee expense reporting and administrative processes for the CPO with confidentiality.
- Handle sensitive personal tasks discreetly as required.
- Identify delegation opportunities within Product, Design, Research, and Engineering teams.
- Support operational needs across R&D leadership by synchronizing schedules and communications.
- Monitor key inbox communications, triaging urgent matters and drafting responses as necessary.
- Coordinate leadership meetings, board materials, and external strategic engagements with meticulous preparation and execution.
- Track and maintain records of action items and commitments arising from meetings and strategic discussions.
- Support recurring reviews, planning sessions, and business updates with thorough material organization in collaboration with R&D teams.
- Maintain alignment and accountability systems across the Core Team and Executive Staff, ensuring documentation and follow-through on decisions.
- Plan and facilitate CPO-led offsites, leadership meetings, and team-building events, managing logistics and post-event evaluations.
Candidate Profile and Requirements
- At least 7 years’ experience as a dedicated Executive Assistant, preferably supporting senior leaders such as CPOs, VPs of Product, or equivalent in high-growth tech firms.
- Location in San Francisco with ability to work onsite/hybrid to support executive rhythms.
- Expertise in managing complex, cross-functional leadership calendars involving multiple disciplines like Product, Design, and Engineering.
- Exceptional communication skills, both verbal and written, capable of producing professional correspondence independently.
- Discreet management of confidential business and personnel matters.
- Proficiency in calendaring, travel coordination, expense processing, and logistical oversight.
- Adept at anticipating needs, mitigating risks, and problem-solving proactively.
- Ability to create structure amidst ambiguity with strong stakeholder management acumen.
- High ownership and capacity to juggle competing priorities reliably.
- Detail-driven with a strong commitment to follow-through and accountability.
- Low ego and high emotional intelligence coupled with a service-oriented mindset.
- Familiarity with Google Workspace, Slack, expense management tools, and project management software preferred.
- Experience or understanding of product development workflows, roadmap planning, or R&D domains is advantageous.
Compensation and Benefits
For roles based in San Francisco, New York City, or Seattle, the salary range is $159,000 to $198,700 annually. For other US locations, the range is $138,200 to $172,700. This includes base salary and bonuses. Additional perks may include equity, company bonus plans, 401(k), paid holidays, flexible PTO, parental leave, employee assistance, health coverage including medical, dental, vision, and related benefits. Salary may be adjusted during the interview process according to the candidate’s experience and location.
