About the Role
We seek a highly organized, proactive Executive Assistant to the CEO to deliver exceptional support to our executive leadership team. This dynamic position integrates executive assistance, project coordination, event management, and business administration tasks, ensuring smooth daily executive operations.
As the trusted aide to the CEO, you will facilitate seamless communication and scheduling while serving as a vital liaison for both internal teams and external contacts. The role offers diverse responsibilities suitable for someone who thrives in a fast-paced environment and takes initiative.
Key Responsibilities
- Manage the CEO's intricate calendar by arranging meetings, appointments, and international travel schedules.
- Organize comprehensive business and personal travel logistics including flights, accommodations, local transportation, and detailed itineraries.
- Oversee emails, phone calls, and correspondence for the CEO to ensure prompt and efficient communication and follow-ups.
- Arrange executive meetings by preparing agendas, presentations, and all necessary supporting documents.
- Coordinate company events, leadership meetings, and social functions.
- Attend to personal administrative duties such as reservations, correspondence, and managing household affairs when applicable.
- Assist in managing the company’s social media accounts and website updates in collaboration with the executive team.
- Support real estate-related activities and projects through coordination and administration.
- Provide project assistance including research, compiling reports, preparing presentations, and coordinating key initiatives.
- Maintain meticulous filing systems, manage documentation, and oversee general office administrative tasks.
- Serve as a professional gatekeeper, upholding strict confidentiality and discretion at all times.
About You
- Proven experience in executive assistant roles or similar senior administrative positions.
- Outstanding organizational and time-management capabilities with the ability to handle multiple priorities effectively.
- Exceptional written and oral communication skills.
- A forward-thinking problem solver with a proactive attitude.
- Detail-oriented and capable of independently managing responsibilities.
- Proficiency in Microsoft Office, Google Workspace, scheduling software, project management tools, and social media platforms.
- Experience in handling complex travel arrangements, event planning, and executive calendar management.
- Ability to maintain absolute confidentiality and exercise discretion with sensitive information.
