Role overview
This is a full-time, on-site position in Bay Square, Business Bay, Dubai, where you will provide high-level executive assistance directly to the CEO. The role is designed for a dependable professional who can act as the CEO’s trusted support partner while balancing executive administration with client and stakeholder coordination.
You will manage demanding calendars, communications, travel arrangements, and shifting business priorities, while also helping maintain smooth day-to-day operations for the CEO and leadership team. The position involves handling sensitive information with care, keeping operations organized, and supporting strategic business growth.
Regular international travel is part of the role, with travel opportunities across Europe and coordination of trips across the UK and Europe.
Language requirement
Malayalam and Tamil are mandatory for this position.
Key duties
- Provide direct executive support to the CEO and assist with day-to-day administrative and strategic coordination.
- Manage a complex diary, including cross-time-zone scheduling, meeting arrangements, and calendar optimization.
- Coordinate communications and act as a reliable point of contact for clients and stakeholders.
- Prepare, organize, and maintain documents, records, and office files as needed.
- Handle expense reports and supporting documentation accurately and in line with company policies.
- Support office coordination and ensure executive operations run smoothly and efficiently.
- Assist with travel planning and logistics, including frequent travel across the UK and Europe.
- Protect confidential information and use sound judgment when managing sensitive matters.
- Help the CEO and leadership team stay focused on core business priorities and growth initiatives.
Professional profile
- Proven background in executive administration or executive support, ideally in a role supporting senior or C-level leadership.
- Strong calendar and diary management skills, including coordination across multiple time zones.
- Practical experience preparing and processing expense reports with accuracy and compliance.
- Solid administrative capabilities, including document handling, filing, and office coordination.
- Excellent English communication skills, both written and spoken; additional languages will be an advantage.
- High standards of discretion, integrity, and confidentiality.
- Strong organization, multitasking, and prioritization skills in a fast-moving environment.
- Comfortable using productivity and collaboration tools such as MS Office or Google Workspace, along with calendar and conferencing platforms.
- Prior experience in Dubai or the wider GCC region is preferred, with familiarity in local business practices seen as beneficial.
- A bachelor’s degree in Business Administration, Management, or a related discipline is preferred, or equivalent professional experience will be considered.
