About the Role
The Executive Assistant to the Chief Executive Officer (CEO) acts as a vital operational partner responsible for managing the CEO's priorities daily, including scheduling, communication, stakeholder engagement, and handling sensitive administrative tasks. Positioned at the core of leadership operations, this role demands accuracy, punctuality, and confidentiality in all interactions and documentation supporting the CEO’s office.
As part of Welby Health, you will collaborate closely with the CEO to advance strategic efforts, monitor key projects, and foster communication across teams, handling confidential matters with professionalism and sound judgment.
Key Responsibilities
- Efficiently manage and organize the CEO's calendar, email, travel plans, and daily engagements with discretion and high organization.
- Prepare documentation and coordinate meetings involving both internal teams and external partners.
- Monitor action items, facilitate follow-ups, and track progress on important strategic initiatives.
- Act as a communication bridge among teams to address gaps and ensure projects adhere to timelines.
- Participate in recruitment activities, including interviewing candidates and aiding in their evaluation.
- Assist with financial matters such as expense tracking and budget support.
- Provide administrative assistance to guarantee smooth daily operations.
- Contribute to special projects and operational improvements as required.
- Maintain strict confidentiality when managing sensitive information.
Qualifications and Skills
- Bachelor’s degree in business administration or related field.
- At least three years of experience supporting senior leadership teams or executives.
- Proficiency in Google Workspace and Microsoft Office Suite.
- Exceptional written and verbal communication abilities.
- Strong organizational skills, with the capability to prioritize tasks and operate independently.
- High emotional intelligence and the ability to remain composed and make sound decisions under pressure.
- Comfortable learning and using new technologies and project management tools.
- Experience in startup or rapidly growing company environments is a plus.
