Department Overview

This role supports the Colorado Department of Personnel & Administration (DPA), which underpins reliable state government operations by providing essential services such as custodial, maintenance, financial, and human resources support. The department fosters meaningful public service opportunities and encourages career growth within state government.

Role Purpose

The Executive Administrative Assistant provides advanced professional support to the Executive Director (ED) and two Deputy Executive Directors (DEDs), assisting with systems and procedures to achieve strategic goals. This role demands discretion, prioritization, and diplomacy in managing confidential communications and coordinating activities with the Governor's Office, legislature, and various agencies.

Key Responsibilities

  • Manage office operations including calendar coordination, meeting setups, equipment upkeep, and maintaining office supplies.
  • Represent and communicate on behalf of the ED and Deputy EDs, maintaining liaison with the public and internal stakeholders.
  • Handle confidential and sensitive information with utmost discretion while prioritizing and addressing executive requests promptly.
  • Organize and prepare correspondence, reports, and executive documents; schedule appointments and travel; and support special projects.
  • Monitor and track programs and administrative functions such as travel, leave, and initiatives, ensuring alignment with departmental policies and priorities.
  • Facilitate communication between departmental executives, division directors, and external agencies to ensure fluid operation and problem resolution.

Minimum Qualifications

  • A minimum of five years providing executive-level support in a senior management or executive suite environment, including schedule management, executive communications, and handling sensitive material.
  • Alternatively, equivalent education and experience may be considered, with relevant higher education substituting for experience on a year-for-year basis.
  • Preferred qualifications include prior state service, strong communication abilities (verbal and written), experience in policy or legal contexts, project management skills, and proficiency with Microsoft Office applications.
