Role overview

This is a full-time Executive Assistant and Operations Support position based in Florida, United States. The selected candidate will act as a true extension of the CEO’s day-to-day workflow, supporting communication, organization, scheduling, and follow-through on key tasks.

Compensation

The role offers a monthly pay of $2,000.

Core responsibilities

You will be expected to manage a high-volume inbox, keep communication organized, support scheduling, and help ensure that operational tasks move forward efficiently.

  • Handle approximately 160 to 180 emails each day.
  • Sort, organize, and prioritize incoming messages.
  • Prepare and send email responses as needed.
  • Maintain CRM records and update client or workflow information.
  • Support calendar management and appointment scheduling.
  • Coordinate follow-ups and reminders.
  • Prepare, process, and organize documents.
  • Track tasks and monitor project progress.

Software and tools

The position requires working knowledge of Wealthbox CRM, Outlook, Gmail, Zoom Phone, Adobe/PDF document handling, and strong Excel skills are preferred.

Industry platforms

Some systems used in this role are trainable, including Docupace, Wealthscape, and Crump.

Personal qualities needed

The ideal candidate should be highly organized, detail-focused, proactive, dependable with follow-through, comfortable communicating professionally, and able to stay composed under pressure.

Preferred experience

Experience in any of the following areas is a strong advantage: Executive Assistant, Operations Coordinator, Administrative Manager, Virtual Executive Assistant, Client Service Coordinator, Financial Services Assistant. Background in bookkeeping or accounting is also considered a plus.

Confidentiality and compliance

This role involves handling sensitive client data, financial paperwork, VPN access, secure systems, and compliance-related requirements, so the candidate must be comfortable working with confidential information.
